Proposal Coordinator
We are currently seeking a highly motivated proposal coordinator who will support our proposal managers ensuring the highest quality proposals are submitted to our clients. Responsibilities:
Supporting proposal managers with scheduling and facilitating capture and proposal meetings
Analyzing solicitations and developing com pliant templates in compliance with client specifications in MS Word
Ensuring professional, consistent layout and format of all proposal sections
Conceptualizing graphics and liaising with graphic designers
Supporting development of compliance matrices and writers’ outlines, supporting Account managers with the completion of forms
Tracking solicitations/ amendments and ensuring changes to form al requirements are organized and applied to the proposal documents
Developing and updating task, action-item, and submittal checklists
Collecting and combining internal reviewers’ comments for evaluation
Writing qualifications to include resumes and project descriptions
Interviewing technical experts to articulate scope relevancy and value
Editing proposals to ensure they are com pliant, consistent, and concise
Leading production and assembly to submit high-quality client deliverables
Responding to and coordinating data call requests
To support operations across time zones and meet client deadlines, work is at times required during evenings and weekends. Candidates for this position must also be able to perform all job functions virtually (e.g., stable wifi) and periodically travel if required.
Qualifications:
Minimum of 4 years of proposal-related or project management experience
Bachelor’s degree in English/ Writing/ Rhetoric, Communications, Marketing, or related creative field (preferred)
Proficiency in Microsoft Word including application of styles. • Business writing experience preferred.
Must be team-oriented, reliable, dependable, flexible, and highly responsive to internal clients, as well as other members of the team
Must be able to work remotely independently and as part of a dispersed team
Ability to evaluate sources, conduct research, and analyze data
Ability to thrive in a fast-paced work environment with shifting priorities, including willingness to work extended hours as necessary to meet client-driven deadlines
Excellent organizational, communications, and time -management skills
Software: MS Office (Word, PowerPoint, Excel), Outlook, SharePoint, Team s, Kofax PDF
