Administrative Assistant
Job Type: Temporary - 12 weeks - could go longer with a possibility of temp to perm
Location: Wildwood, FL 34785
Work Schedule: 100% in Office
Hours: M-F 8am-5pm
Compensation: $18/hr - $20/hr
Benefits: Health, Dental, Vision while on contract
Sanford Rose is looking for an administrative assistant to cover a FMLA for a construction company in the Wildwood, FL area. This opportunity is great for someone who is readily available, enjoys working within administrative tasks, and is a team player!
Responsibilities:
Enter payroll data and assist employees with timekeeping questions and pay discrepancies.
Coordinate virtual new-hire onboarding, including laptop setup, PPE distribution, document collection, and submission to HR.
Maintain rehabilitation lists/tables and support preparation of scheduled reports.
Handle applicant intake by providing application instructions, collecting documents, and forwarding materials to hiring managers.
Perform weekly safety equipment inventory and report levels to management.
Serve as first point of contact for office visitors, vendors, and deliveries.
Maintain a clean, organized, and professional office environment.
Provide administrative support to supervisors, field staff, and managers, including drafting correspondence, organizing files, preparing documents, and managing communications.
Assist with job tracking and compile data for billing or reporting needs.
Manage pre/post equipment inspection logs, downed equipment logs, and distribute updates to fleet, accounting, and management.
Participate in process improvement efforts to streamline communication between office and field teams.
Coordinate with executive and senior administrative assistants to support senior management requests.
Qualifications:
Minimum of 2 years as an administrative assistant or office administrative assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel in particular - Strong basic skills - must be able to utilize formulas within spreadsheets templates)
Excellent time management skills and ability to prioritize work
Upbeat and bubbly personality with a can do and team work attitude
