This dual-purpose role blends front-desk reception with client intake coordination, making it essential to our ability to deliver an exceptional client experience from the very first interaction. That's why we intentionally offer above-market compensation – we are looking for the very best, and we are willing to invest in top talent:Hourly Pay: $20 – $25 per hour, depending on experience and qualificationsMonthly Team Bonus: $500 – $1,000 per month based on the firm's monthly performance401(k) Retirement Plan with employer matchHealth Insurance: The firm contributes toward medical insurance premiumsWork-Life Balance Schedule: 8:45 AM – 4:1520 PM, Monday through Friday – designed to support working parents and promote a healthy work-life balancePaid Time Off and paid holidaysProfessional development and continuing education opportunitiesSupportive, team-oriented work environment in a well-appointed Peachtree City officeSCHEDULE & WORK ENVIRONMENTFull-time, Monday through Friday, 8:45 AM – 4:15 PM (in-office; this is not a remote position)Responsible for opening and closing the office each business dayProfessional office setting with regular client interaction in person and by phoneOur firm values work-life balance and has adopted a schedule giving our team members more time with their familiesResponsibilities:ESSENTIAL DUTIES RESPONSIBILITIESReception & Office OperationsOpen and close the office each business day, ensuring the reception area is welcoming, organized, and fully stocked with refreshmentsAnswer a multi-line telephone system; route calls to appropriate case managers and staff membersRetrieve voicemail messages promptly and return calls from clients and prospective clientsGreet clients and visitors at the door, offer refreshments, and escort them to meeting areasProcess incoming and outgoing mail and coordinate deliveries as neededClient Intake & Lead QualificationServe as the firm's first point of contact for all prospective clients, creating a positive and lasting first impressionConduct intake triage: gather preliminary information to determine whether a prospect is a good fit for the firm's estate planning and elder law servicesCollect basic matter information and enter it accurately into Clio GrowSchedule Discovery Appointments for prospective clients using Clio GrowSend appointment confirmations and reminders via telephone and emailMigrate qualified matters from Clio Grow to Clio Manage upon engagementClient Onboarding & CoordinationSchedule Design Meetings and Signing Meetings for clients during the onboarding processConfirm all existing appointments by telephone and email in advanceAssign new legal matters to case managers, ensuring workload is balanced across the teamGather payment information from clients and coordinate with the bookkeeper for processingAssemble client binders containing finalized legal documents as neededMaintain accurate and up-to-date records in both Clio Grow and Clio ManageQualifications:QUALIFICATIONS & REQUIREMENTSHigh school diploma or equivalent required; associate's degree or additional education preferred1–3 years of experience in a receptionist, front desk, or client-facing administrative role; legal office experience strongly preferredProficiency with legal practice management software (Clio Grow and Clio Manage experience is a significant plus)Strong computer skills, including Microsoft Office Suite (Word, Outlook, Excel), and comfortable learning new technologyExcellent verbal and written communication skills with a warm, professional telephone presenceOutstanding organizational skills with the ability to manage multiple priorities and meet deadlinesClose attention to detail and accuracy, particularly with data entry and schedulingAbility to handle confidential and sensitive information with discretionProfessional appearance and demeanor; comfortable serving as the public face of the firmEmpathetic and patient disposition – clients are often navigating emotional and complex family situationsPREFERRED QUALIFICATIONSPrior experience in an estate planning, elder law, or trust administration practiceFamiliarity with legal intake workflows, client screening, and CRM/intake platformsNotary Public commission (or willingness to obtain one)Bilingual abilities are a plus, but not requiredAbout Company:HOW TO APPLYWe set the bar high because our clients deserve nothing less – and we back that expectation with compensation and a work environment to match.
