Job Description PREP Center Office ManagerSalary: $41,800 Transform Lives - Lead Change - Join Project Hospitality Are you passionate about addressing behavioral health needs on Staten Island? Project Hospitality, the largest not-for-profit on Staten Island, is seeking a dynamic Office Manager to join PREP, our OASAS 820 residential treatment program. In this critical role, you'll provide administrative oversight and facilities management of the program reporting directly to the Clinical Director. You'll become a valuable part of the innovative and welcoming residential treatment environment we seek to provide for our clients. We're looking for someone who can:Work in a fast paced and dynamic environmentUtilize their excellent interpersonal skills to ensure that all of our clients are treated with warmth and respectUse their excellent communication skills not only with our clients and other visitors to the clinics but also with our diverse treatment teamUtilize their technological skills as they use varied computer systems, phone systems and our security systemMultitask without becoming overwhelmed What we'll expect you to do:Answer incoming calls to the programUpdate insurance authorizations in client electronic health records.Monitor mail, program referrals and incoming faxes. Distribute the documents to the appropriate staff and clients.Meet with clients to screen for entitlements, submit applications and follow-up with HRAResponsible for ordering and maintaining inventory of all office and program supplies, including medical supplies as required by the medical staffPromptly and correctly submit purchase orders and check requisitions to Director for approvalConduct, track and log monthly fire drills to ensure compliance with executing egress and ensure fire extinguishers are serviced according to expiration datesNotify Clinical Director and/or Area Director of administrative/facilities issues requiring a prompt responseDemonstrate flexibility and reliability with staff regarding lunch/break coverageOversee maintenance of office equipment and applicable service contractsDemonstrate professional interactions with staff, vendors, auditors and clientsIn the absence of the Facilities/Food Coordinator, serve as a back-up to ensure food is prepared and distributed, accordingly.
