Office Manager (PJACC)Reports To: Community Center Director, PJACCLocation: 876 Schenck Avenue, Brooklyn, NY, 11207Hours: 35 hrs/week; Non-ExemptSalary: $47,939.04 - $53,265.60 / yearMajor DutiesOversee and support all administrative duties in Prince Joshua Avitto Community Center (PJACC) and ensure that office is operating smoothlyDevelop and maintain filing systemServe as first point of contact for those entering and/or calling the centerField inquiries and requests from participants and their families as well as staff in a timely mannerMaintain a welcoming and efficient office, which includes, stocking supplies, maintaining equipment, receiving, and distributing mail and shipments, welcoming visitors and managing student issuesManage office supplies inventory and place orders as necessaryDevelop office policies and procedures, and ensure they are implemented appropriately o Manage program database; collect and maintain vital records and dataManage office budget and provide monthly spending reportsProvide supervision of the part-time receptionistScreen calls, maintain the building calendar and orientation schedule, and coordinate meetings for the Directors and studentProvide translation support to Spanish speaking participantsProvide administrative support as necessary, including outreach calls, emails, research, and flyer distributionAssist in the preparation of monthly reports and respond to other requests for informationAttend relevant staff meetings and retreats o Supervise preparation for special events and program meetingsServe as liaison between program and Good Shepherd Services for matters involving Finance, Human Resources, and Development offices on appropriate mattersPerform other duties as assigned.Qualifications2 years of work experience in an administrative role required.Bilingual English/Spanish preferred.High School diploma required; Bachelor's degree preferredMust have clerical office management experienceKnowledge of Salesforce, Remind, Instagram, Wix, Canva, are a plusCapability to transition easily between working independently with a high degree of self-initiative and contributing as part of a teamComputer proficiency required o Proven client sensibility and ability to communicate effectively with staff on all levelsDemonstrated competence in verbal, written, organizational, and prioritization skillsMust have a commitment to work from a strength-based and/or youth development perspective.
