We're looking for a proactive and detail-oriented Administrative Assistant to become the backbone of daily office operations. This role is ideal for someone who takes pride in organization, communication, and multitasking, and is comfortable juggling a variety of administrative tasks in a fast-paced environment.Key Responsibilities:Answer and screen phone calls, relay messages, and direct inquiries appropriatelyWelcome and assist visitors and customers with professionalismSchedule meetings, conference rooms, and travel arrangementsOrganize and maintain files, documents, and spreadsheetsMerge documents for bulk mailings and manage all incoming/outgoing mailKeep kitchen, breakroom, and conference rooms clean and stockedOrder and monitor office suppliesCoordinate office events and maintain the facility space mapServe as the point of contact with building managementPrepare and manage city license applications and related paymentsAssist with new customer onboarding processesMaintain appointment calendars and internal systems like Fenix and call logsEnsure adherence to office procedures and building security protocolsRequirements:Bilingual in English and Portuguese (required)Strong organizational and communication skillsComfortable working independently and in a team settingProficiency with Microsoft Office and standard office technologyAscendo is a certified minority owned staffing firm, and we welcome and celebrate diversity.
