Administrative Patient Representative Smithfield, NC $37,099 - $46,099 a year Full Time Summary: Facilitate smooth patient flow within the clinic by efficiently managing patient registration, appointment scheduling, and accurate medical record maintenance. Ensure timely and precise submission of billing information and reports, supporting the overall administrative operations of the outpatient clinic. Major Responsibilities: Quickly register patients while collecting accurate personal and insurance information. Schedule appointments for initial visits, follow-ups, and procedures, ensuring proper allocation of provider time and resources. Maintain and update patient medical records with new information as needed. Handle incoming calls related to appointments, directing patients to the appropriate provider and scheduling accordingly. Collect payments including co-pays and deductibles, document transactions, and prepare daily cash reports. Order and schedule outside tests as requested by providers, confirming appointments with patients. Enter ICD-10 and CPT-4 codes for patient activities and procedures into the data system daily. Transcribe non-medical dictation and submit billing invoices to the billing department under supervision. File, fax, and mail reports and records; compile and submit monthly reports promptly. Assist in tracking and ordering office supplies, notifying supervisors when stock is low. Serve as receptionist by greeting patients, answering phones, and supporting clinic guest relations policies. Provide assistance during non-invasive medical procedures or act as a security observer when needed. Direct emergency messages and help locate administrative or medical staff as necessary. Education: High school diploma or equivalent required; business-related coursework preferred. Experience: 1-2 years of clerical experience preferred, especially in medical office or public contact roles. Skills and Abilities: Familiarity with medical terminology and ICD-10/CPT-4 coding preferred. Proficient PC skills and typing speed of 45-55 words per minute. Strong organizational skills, tact, and ability to handle patients under stress. Effective verbal communication and auditory skills are essential. Physical Requirements: Ability to read printed data and monitor screens, manual dexterity, and capability to lift, stoop, bend, kneel, and reach.
