Administration Administrative AssistantThe Administrative Assistant performs clerical duties to assist with administrative tasks related to accounting payables/receivables, route settlements, or office operations as needed. Essential Duties and Responsibilities Supports Office Manager through reception, clerical and workflow organization duties Assist management with special projects, reporting, and other clerical tasks as assigned Provides prompt service as needed to both customers and employees Assigns and oversees administrative projects with other office personnel Prepare and process daily deposits for all payments collected by route drivers Resolves administrative issues by preparing reports and analyzing data to identify solutions Reconcile and close out route drivers' daily transactions, ensuring all paperwork is completed accurately Identify discrepancies in route settlements and work with drivers or management to resolve them promptly Collaborate with drivers, sales representatives, and management to ensure accurate and efficient daily operations Maintains stock of office supplies Assist with end of month reports such as expenses Organize and file route settlement documentation for auditing and record-keeping purposes Assist with answering phones, directing calls, and supporting front desk operations when needed Assist with accounts receivable/payable support, including verifying invoices, tracking payments, and updating internal systems Other duties as assigned Work Authorization Must be authorized to work in the USA for any employer. Job Requirements A qualified Administrative Assistant must have at least 1 year of related experience High school diploma or equivalent required. Previous experience in cash handling, accounting support, route settlements, or administrative roles preferred. Strong attention to detail and accuracy. Proficient in Microsoft Office, particularly Excel. Excellent organizational and time management skills. Ability to work independently and meet daily deadlines.
