You will translate complex information between the field, finance, and leadership to ensure that every document reflects the true reality of the work. We are looking for a proactive, confident communicator who thrives on closing loops, following through, and creating calm under pressure.Key ResponsibilitiesDrive Documentation Alignment: Manage the accuracy of all project correspondence, including RFIs, submittals, change orders, and logs across Procore and Viewpoint.Master Procurement & POs: Prepare and track purchase orders, verify deliveries, and collect essential warranties and certificates of compliance.Coordinate Financials: Reconcile documentation for billing and claims, collaborating with Project Accountants to maintain defensible financial records.Bridge the Gap: Conduct regular touchpoints with Superintendents and Field Coordinators to ensure office data matches real-world field conditions.Monitor Critical Communications: Serve as a second set of eyes on project emails to flag and respond to urgent matters, ensuring professional follow-through.Ensure Audit Readiness: Maintain system integrity by uploading and verifying records according to strict SOPs.Represent the Professional Standard: Interact directly with clients and vendors to resolve pending documentation with confidence and cultural awareness.Must-Have RequirementsExperience: 2–3 years in construction coordination, documentation control, or procurement.Language: Fully bilingual in English and Spanish with confident, articulate communication skills.Technical Proficiency: Skilled in Procore, Viewpoint Vista, and Microsoft Office Suite.Legal: A valid Type B1/B2 U.S. visa is required (or must be eligible to obtain one within 6 to 12 months).Communication Style: A proactive habits-of-follow-through mindset; comfortable speaking up and leading calls to clarify issues.Discipline: Strong digital filing habits and a commitment to measurable outcomes and system accuracy.Nice-to-Have RequirementsEducation: Bachelor’s or Associate’s degree in Business, Construction Management, or a ArchitectureSoftware: Familiarity with Power BI.Background: Candidates with cultural familiarity or family ties in the U.S. are encouraged to apply.Why Join UsThis isn't just a support role; it’s a growth engine.
