Vacancy NameLaunch Department Administrative Assistance Vacancy NoVN1059 Target Staff TypeVolunteer/Supported Work LocationJAARS Waxhaw FTE0.500 Position SummaryThe Administrative Assistant will provide essential support to the Partnership Development team by organizing resources, coordinating communication, submitting JAARS Supported Staff (JSS) and Launch Department expenses, and keeping department spreadsheets and data up to date. This role ensures that new missionary staff receive smooth, effective, and encouraging onboarding during their support-raising journey and launch process. Position ResponsibilitiesAdministrative SupportPrepare and send reminder emails, follow-ups, and relevant training resources Maintain organized digital files and records of coachees' progress Update and manage Training & Communication SupportAssist in organizing group trainings Create or update PDFs, slides, and handouts for trainings and presentations Take notes during meetings and document key action items Data Entry & Follow-upTrack milestones for each new missionary's PD process (e.g., goals reached, training steps completed) Ensure that all departmental spreadsheets are regularly updated and maintained to reflect the most current information. Team CollaborationLiaise with other departments as needed to coordinate communication or gather information Assist in collecting feedback and improving systems for better training and care Position RequirementsA deep and growing walk with the Lord Jesus that includes your personal spiritual growth and the ability to support others in their spiritual growth Embrace the vision, mission, and core values of JAARS Strong administrative and organizational skills Proficiency in Google Workspace (Docs, Sheets, Calendar) Excellent written and verbal communication Ability to manage multiple tasks with attention to detail A heart for missions and understanding of partnership development is a plus Experience working in a support role in ministry or nonprofit settings is desirable
