This role requires strong judgment, discretion, and the ability to manage sensitive and confidential information while supporting multiple stakeholders.Key ResponsibilitiesAdministrative & Operational SupportProvide comprehensive administrative support to department leadership and senior staffPrepare, review, and manage reports, presentations, and business documentsMaintain calendars, coordinate meetings, and manage scheduling prioritiesHandle correspondence, phone communications, and email coordinationProcess expense reports, timekeeping, and general administrative tasksData & Systems ManagementCompile, analyze, and format data from multiple sources for reporting purposesUtilize SAP and other internal systems for data entry, reporting, invoice processing, and contract administrationMaintain organized electronic and physical filing systems in accordance with company policiesTrack project statuses, deadlines, and deliverablesDocument & Presentation SupportPrepare and edit high-quality PowerPoint presentationsReview documentation for accuracy, completeness, and formatting complianceEnsure proper document retention and accessibilityEvent Coordination & LogisticsPlan and coordinate meetings, events, and executive-level functionsManage venue sourcing, logistics, travel arrangements, and on-site executionOversee event materials, including presentations, printed materials, and attendee amenitiesReconcile event expenses and ensure accurate billingQualificationsHigh School Diploma or GED required (Associate's or Business coursework preferred)Minimum 5+ years of administrative or executive support experienceStrong proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)Experience with SAP or similar enterprise systems preferredExcellent organizational, multitasking, and time management skillsStrong written and verbal communication skillsAbility to handle confidential information with discretion and professionalismProven ability to work independently with minimal supervision
