About the RoleWe're hiring an organized, proactive Office Administrator to keep our Paramus office running smoothly. This is a hands-on, on-site role for someone who thrives on communication, structure, and getting things done. You'll be the operational backbone of the office — managing phones, CRM, scheduling, and day-to-day operations while supporting leadership on special projects.The ideal candidate is detail-oriented, dependable, and confident in handling high-volume phone communication, client outreach, and administrative operations. Experience or interest in construction, architecture, engineering, or project coordination is a strong plus.What You'll DoHandle high-volume inbound and outbound phone communication, including client outreach and follow-upMaintain and update CRM records (Pipedrive) and project management tools (Asana)Coordinate schedules, appointments, and meetings for staff and leadershipPrepare for meetings and company events, including agendas, materials, room setup, catering, and logisticsManage email correspondence, mail distribution, and document preparationOrganize and track all incoming and outgoing deliveries, including materials, packages, and equipment, ensuring accurate documentation and timely follow-upTrack office inventory and coordinate supply ordering, vendor relationships, and service requestsSupport leadership with administrative tasks and special projectsRepresent the company professionally at occasional industry eventsTake ownership of tasks from start to finish with accuracy and accountabilityWhat We're Looking For (Required)Prior experience working in a construction office, facility management office, or similar operations-focused environmentStrong written and verbal communication skills, with confidence on the phoneProficiency with Google Workspace and general office softwareExceptional organizational and multitasking skillsReliable transportation and a valid driver's licenseAvailable Monday–Friday, [8:30 am - 5:30 pm](Preferred)Experience with CRM systems (Pipedrive a plus) and project management tools (Asana a plus)Comfort using AI tools to improve productivityBackground or interest in construction, architecture, engineering, or operationsAssociate degree or equivalent work experienceAbility to organize and track all deliveries, ensuring accurate receipt, documentation, and follow-upBenefitsPaid time offProfessional development assistanceGrowth opportunities within the companySupportive and team-oriented work environment
