We’d love to have you join us on our journey!About The RoleThe Administrator is a highly visible administrative position providing wide-ranging support across Lithia & Driveway, with primary focus on the Manufacturer Relations & Dealer Services department. This team plays a critical role in dealership lifecycle activities including acquisitions, divestitures, open points, and dealership changes, ensuring compliance with manufacturer, regulatory, and internal requirements. The Administrator supports key processes that directly impact transaction timelines, dealership continuity, and corporate record accuracy.Success in this role requires strong communication, attention to detail, a sense of urgency, and the ability to manage competing priorities in a deadline-driven environment.What You’ll DoIn this role, you’ll provide essential support to the department and help ensure projects stay organized, compliant, and on schedule. Responsibilities include:Support the Manufacturer Relations & Dealer Services team on active projects and department initiativesFacilitate and maintain new company formation documentation in coordination with outside counselAdminister department email inboxes, review correspondence, and distribute internal/external communicationsAssist with obtaining corporate officer signatures on manufacturer, regulatory, and transactional documentsFacilitate General Manager change and approval processes, including required documentation and updatesTrack, monitor, and support dealer agreement renewalsPartner cross-functionally with internal teams on acquisitions, divestitures, dealership changes, and special projectsSupport renewals, DBA filings, and other corporate maintenance itemsSchedule meetings, prepare agendas, and capture meeting minutesMaintain, audit, and ensure data accuracy across department systems and project toolsProvide backup administrative support and coverage as neededIdentify discrepancies, errors, and process gaps while proposing solutions and improvementsCommunicate project updates, priorities, and issues proactively with leadershipCreate and maintain department procedures, templates, and documentationScan, organize, file, and maintain corporate records according to department standardsMaintain accurate manufacturer and corporate information to support internal/external requestsWhat We’re Looking ForThis is a detail-heavy role that requires strong organization and the confidence to communicate with leadership regularly.Skills & QualificationsStrong attention to detail and accuracySense of urgency and ability to meet important deadlinesExcellent written and verbal communication skillsStrong critical thinking and problem-solving abilityActive listening skills and professionalism in a collaborative environmentStrong time management and ability to prioritize workload independentlyProficiency in Microsoft Word, Excel, Outlook, and AdobeMinimum 3 years of experience in a business office environmentExperience communicating with upper managementAutomotive industry experience preferredWe Offer Best In Class Industry BenefitsCompetitive payMedical, Dental and Vision PlansPaid Holidays & PTOShort and Long-Term DisabilityPaid Life Insurance401(k) Retirement PlanEmployee Stock Purchase PlanLithia Learning CenterVehicle Purchase DiscountsWellness ProgramsHigh School graduate or equivalent, 18 years or older required.
