It combines executive support responsibilities with cross-functional coordination across the organization. The ideal candidate is highly organized, proactive, business-minded, and comfortable operating in a fast-paced, detail-oriented environment.This role is full-time and in-office in San Jose due to the collaborative and high-touch nature of executive support and cross-functional coordination.Key ResponsibilitiesExecutive Support & PartnershipManage and prioritize a high-volume executive inbox, including drafting responses and tracking follow-upsCoordinate a complex and frequently changing executive calendarPrioritize scheduling and protect CEO time based on business prioritiesPrepare meeting agendas, briefing materials, notes, and action itemsCoordinate domestic and international travel arrangements and logisticsServe as a liaison between the CEO and internal and external stakeholdersHandle confidential business information with discretion and professionalismMaintain organization across communications, meetings, and executive prioritiesOperations & Business CoordinationTrack and help drive follow-through on key initiatives across multiple departmentsSupport communication and coordination among leadership teamsCoordinate across departments to keep key initiatives moving forwardPrepare reports, dashboards, summaries, and presentation materialsAssist with project prioritization, operational planning, and organizational follow-throughHelp improve processes, reporting, and workflow efficiencySupport leadership initiatives and operational priorities as they ariseQualificationsRequiredBachelor's degree or equivalent professional experience10+ years of experience in executive support, business operations, project coordination, or related rolesExperience supporting senior executives in fast-paced environmentsStrong organizational skills and attention to detailExcellent written and verbal communication skillsStrong judgment and ability to manage confidential informationProven ability to prioritize and follow through on multiple initiativesHigh level of professionalism, adaptability, and accountabilityProficiency with Microsoft Office and/or Google WorkspacePreferredExperience in construction, real estate development, architecture, or related industriesExperience supporting founders, CEOs, or senior leadership teamsExperience preparing executive-level reports, presentations, or operational summariesFamiliarity with process improvement, workflow systems, or operational toolsCompensation & BenefitsCompetitive compensation package including base salary, bonus opportunity, health benefits, paid time off, and long-term growth opportunities.Base salary range: $150,000 – $200,000 annually, depending on experience and qualifications.
