This role is ideal for someone who thrives in a dynamic, people-focused environment and enjoys bringing structure, efficiency, and excellence to a wide range of operational responsibilitiesKEY RESPONSIBILITIES:Facilities & Office OperationsServe as the primary point of contact for facility-related needs and coordinate maintenance requestsManage incoming mail, deliveries, and building access requestsMaintain organized and functional shared spaces and storage areasPurchasing & Financial AdministrationOrder office and program supplies as neededTrack expenses, process reimbursements, and ensure timely invoice paymentsMaintain accurate records of purchases and budgetsCommunications & Digital PresenceKeep website content current and accurateCoordinate with internal teams on marketing materials and messagingManage and publish content across social media platformsEvents & Program SupportCoordinate logistics for events, classes, and internal initiativesProcure materials, supplies, and refreshmentsEnsure smooth setup and breakdown with support teamsData & Systems ManagementMaintain and update internal databases and reporting systemsGenerate reports, manage registrations, and distribute communicationsCommunity & Engagement SupportFacilitate onboarding and engagement processes for participants and volunteersSupport leadership teams in maintaining accurate records and participation trackingAssist in sharing highlights and success stories across communication channelsMeetings & Project CoordinationPrepare agendas, capture notes, and track action itemsEnsure follow-through on projects and cross-functional initiativesGuest & Stakeholder ExperienceHelp create a welcoming, organized, and positive environment for visitors and participantsRespond to general inquiries via phone, email, and online channelsSupport follow-up communication and engagement effortsQUALIFICATIONS:Strong organizational and administrative skills with high attention to detailAbility to manage multiple priorities and meet deadlines in a fast-paced environmentExcellent written and verbal communication skillsProactive, solutions-oriented mindset with strong follow-throughCollaborative team player who works well across functionsComfortable adapting to evolving priorities and needsWe are an equal opportunity employer, and we are an organization that values diversity.
