This role would suit someone confident in their ability, with excellent organizational and written communication skills, that is ready to step into a dynamic, fast-growing business with a strong client base.Our ClientsOur compliance and commercial management expertise supports a variety of companies from multiple foreign countries — in sectors ranging from biotechnology and renewable resources to agtech, fintech, SaaS, and food & beverage.Key ResponsibilitiesThis is a customer facing role with significant variety. Once settled in at Acclime USA, your role will cover onboarding new clients with a range of services and tasks, including:Client Services & ComplianceHandling client enquiries and issues regarding compliance and best practice corporate governanceActing as Authorized Officer for our clients to manage their corporate registrationsActing as signatory and providing assistance with documentation to open business bank accountsApplications for Employer Identification Numbers (EINs) for foreign-controlled subsidiariesManaging Company Incorporations in Delaware and Federal tax registrationsOverseeing State registrations and county/city Business License applicationsHandling of IRS and other government enquiries where relevant and when requiredRegulatory & DocumentationDrafting of Board of Directors' resolutionsDrafting of forms with IRS and other relevant regulatory and state authoritiesDrafting and filing of forms with IRS and other relevant regulatory and state authoritiesCreation and maintenance of Client Corporate Registers (e.g., Excel spreadsheets/Monday Boards) for tracking the progress of internal projectsCreation and maintenance of Corporate RegistersEnsure company records are maintained, secure, and up to dateAdministrative & Office ManagementScanning and filing documents in our cloud-based system for distributionForwarding of correspondence to Compliance Specialists and other personnel for distributionForwarding of correspondence to clientsLabelling envelopes for sendingEffectively maintain office systems, computers, peripherals, etc.; procure and replace office equipmentMaintain and replenish stationery and general office inventoryOverseeing and coordinating all office administrative functions to ensure operational excellence; responsibilities include maintaining a clean and organized workspace, as well as managing general office upkeep tasksProvide high-level personal assistance to Compliance Specialists including the preparation of client emails, office correspondence, travel arrangements, etc., as requiredAssist in the preparation of company newsletters and communication packages for distributionFinancial & Process ManagementManaging and overseeing the invoicing of all new clients for new incorporations,bank account openings, and state qualificationsManaging and overseeing invoicing clients for all once-off filings including but not limited to additional state qualifications, registered agent services, and annual reportsContinuous process improvements to improve efficiency and scalabilityTroubleshooting and problem solving for US-inbound clients and business operationsMiscellaneousOther ad-hoc duties for clients and Acclime USA as requiredKey Requirements:EssentialA friendly and passionate personality with a high attention to customer serviceA high level of attention to detail and a diligent natureA high level of computer literacy and experience with cloud-based software solutionsProficiency with Microsoft Office and cloud-based task management software platformsExcellent written and verbal communication skillsStrong organizational skills, with the capacity to successfully manage competing priorities, plan workload, maintain attention to detail, and meet deadlinesA willingness to think laterally in the approach to problems — developing creative solutions instead of applying time-worn methodsBeneficialA minimum of 12 months' experience within Corporate Compliance Project management experienceForeign language skills (not a prerequisite, but looked upon favorably)Bachelor’s or graduate-level education in finance, law, or other relevant disciplineHere's what makes this role a winner:Play a pivotal role in shaping ethical and regulatory frameworks.Exposure to diverse industries: Join a dynamic team that works with a broad portfolio of clients.Be part of a global company with ample growth opportunities, professional development and the chance to build a meaningful network.Ready to grow your career to new heights?
