Executive Assistant / Office ManagerPosition Summary The Executive Assistant / Office Manager plays a key role in supporting the corporate office's leadership team and ensuring efficient daily operations. This individual will provide high-level administrative support to the COO and President of the Hospitality Division while overseeing office logistics, communication flow, and general operations for the corporate office. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, service-oriented environment. Key Responsibilities Serve as primary administrative support to the COO and President, Hospitality Division Manage calendars, coordinate meetings, and schedule travel arrangements Prepare correspondence, reports, presentations, and meeting materials Handle confidential information with professionalism and discretion Act as point of contact for internal and external communications Oversee day-to-day office operations, including supply management, vendor coordination, and facility needs Assist with company events, meetings, and hospitality initiatives Ensure office policies and procedures are implemented and maintained Collaborate cross-functionally with HR, Finance, and Operations teams May support other members of the Executive Committee as needed Knowledge, Skills, and Abilities Competency/Qualifications Bachelor's degree preferred or equivalent relevant experience 3+ years of experience as an Executive Assistant, Office Manager, or similar role Strong organizational and time-management skills Excellent written and verbal communication abilities High level of professionalism, discretion, and attention to detail Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and general tech savviness Ability to work independently and anticipate needs in a dynamic environment Cell Phone Use Employees may be required to use personal cell phones for work-related communication, including coordination with team members, managers, and clients, as well as accessing work applications. Reimbursement for work-related phone usage will follow company policy. Physical Demands Requirements may include extended periods of sitting, standing, walking, and the ability to lift moderate weights when necessary. Specific vision abilitiesclose, distance, peripheral, depth perception, and focus adjustmentsmay be required to ensure on-site awareness and safety. Fair Labor Standards Act (FLSA) This position is classified as exempt under the Fair Labor Standards Act (FLSA), meaning employees in this role are not eligible for overtime pay for hours worked beyond 40 in a workweek at a rate of one and one-half times their regular hourly rate. All hourly rates will meet or exceed the minimum wage requirements for your specific work location. PMC is compliant with all state workman's compensation laws.
