Administrative Assistant, Math and Physics

This position assists the Math and Physics Department and the Engineering Department with administrative duties.,To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described.Provides clerical support and assistance to the department and division while maintaining communications with the department and division leadership and faculty;Answers the telephone and greets office visitors, dispenses appropriate information, takes messages, refers calls, and screens calls when appropriateWorks closely with the Dean, Associate Dean, Asistant to the Dean, Department Heads, Associate Department Heads, staff and faculty (fulltime and adjunct) to ensure Division guidelines are metFacilitates the development and retrieval of web-based documents such as documents and spreadsheets that reside on the Department drive, website, OneDrive, MS Teams and Blackboard systemsFacilitates transition of adjunct and new faculty at the start and end of each semester, coordinating with other areas of the college as required and/or neededVerifies accuracy and completion of academic reports prior to submissionEstablishes and maintains a departmental filing and retrieval system including files relating to course schedulingManages college reporting requirements and updates Department Heads, full time and adjunct faculty of due dates and deadlinesEstablishes and maintains office space that promotes good communication and public accessAssists in professional travel arrangements for faculty and staff and completes resulting paperworkMaintains and orders Instructor copies of textbooks and office suppliesCompletes and tracks purchase orders as directedReports department moves, and assists with room reservationsArranges for routine equipment and building repairs, computer repairs, phone and voicemail installations, and other maintenance and repairsProvides administrative support for the annual State Math ContestAssists with functions at various Campus sites as directed,Knowledge, Skills & AbilitiesIntermediate skills in MS Word, Power point, and ExcelDemonstrated knowledge of web-based resources such as OneDrive, Blackboard, and MS TeamsExcellent organizational skillsExcellent written and verbal communication skillsAbility to exhibit good interpersonal skills and work well with othersDemonstrates excellent customer service skillsAbility to maintain records accurately and be able to meet deadlines consistentlyAbility to work with a high degree of accuracy in a fast-paced office environmentAbility to travel to various college campus locations as directed; duty station can vary;must have a valid driver's license and clean driving recordRequirementsHigh school diploma or equivalentThree years work experience in a clerical or office administration positionPreferencesAssociate's degreeThree years work experience at a post-secondary institution in a clerical or office administration positionEssential PersonnelTBD
