Fort Myers, Florida Office Manager - Assistant - Thomas Marine Construction Co. (TMC) DESCRIPTION Thomas Marine Construction Co. (TMC) is a heavy civil bridge, roadway, and structural constructor. A fixture in SW Florida since 1982, TMC has worked as prime contractor for nearly every governmental body (local, state, and federal) and many private companies throughout our 12-county geographic area. TMC’s work is both low bid and/or design build. Thomas Marine is an employee-owned company. We are currently seeking an Assistant Office Manager to join the Thomas Marine Construction Team in Fort Myers. That person will assist the Office Manager with the duties and responsibilities listed below. RESPONSIBILITIES – PAYROLL & BENEFITS Perform payroll activities including payroll processing, entering tax and direct deposit information, administering regulatory requirements, garnishments, tax levies, support orders, quarterly taxes, and year-end processing. Completion of Certified Payrolls, Prevailing Wage, and Davis-Bacon Reporting. Implements and maintains payroll best practices to improve efficiency. Responsible for compensation/payroll administration including compliance with FLSA, DOL, E-Verify, and IRS. Produces scheduled and ad-hoc reports pertaining to payroll and human resource requirements. Responds to inquiries for verification of employment requests. Prepares reports for annual Worker’s Compensation and Commercial Insurance Audits. Processes status changes and open enrollment. Respond to employee inquiries regarding general insurance information or specific claims processing. Work closely with the Corporate Office Human Resource Benefits Specialist to distribute benefit compliance notifications. Assists with administration and tracking of employee time off according to company policy. RESPONSIBILITIES – ACCOUNTS PAYABLE AND ACCOUNTS RECEIVABLE Accounts Payable – Vendor maintenance, process invoices as required by subcontract and purchase order agreements and prepare weekly check runs. Accounts Receivable - Prepare Monthly Pay Applications using AIA G702/G703 and other Accounts Receivable Invoice Forms as required by Owner Contract. RESPONSIBILITIES – TREASURY MANAGMENT Daily Treasury Management Reporting and Processing. Bank Reconciliations. RESPONSIBILITIES – FINANCIAL REPORTING Prepare Monthly Financial Statements including Work-in-Process Reports in cooperation with the Corporate Office. RESPONSIBILITIES – BIDDING AND CONTRACT ADMINISTRATION Prepare Bid Forms, order Bid Bonds, and other documents as required. Contract Administration – prepare Contract Award Packages - Payment Performance Bonds, Certificates of Insurance, Job Set-up, Subcontractor/Purchase Orders, and related documents. The ideal candidate will possess: Education and experience: Candidates for the Office Manager Assistant should have 5+ years of progressive Payroll, Benefits, and Human Resource experience, preferably in a construction environment, a bachelor's degree in accounting, business, or human resources is preferred, but equivalent experience will be considered. Eye for Details: Accuracy is critical for success in this role. Candidate must have superior organizational, communication (both written and verbal) and decision-making skills. Tech Know-How: A strong background in using all Microsoft Office programs, particularly Excel, as well as with an ability to become familiar with firm-specific programs and software (Accumatica).
