Warranty Administrator/Claims Processor - Shreveport

Mechanical Concepts LLC is seeking a Warranty Administrator / Claims Processor to support our service and parts operations.This role is a key support function within the operation—ensuring warranty claims are processed accurately and followed through to resolution, while supporting both internal teams and manufacturer relationships.The right candidate will take ownership of the warranty process, stay on top of details and follow through, and work closely with service, parts, and sales teams to keep jobs moving, issues resolved, and customers taken care of throughout the process.Key ResponsibilitiesReview, process, and submit warranty claims in accordance with manufacturer guidelines and policiesTrack claim status and follow up with manufacturers to resolve delays, discrepancies, or outstanding issuesMaintain accurate records of warranty work, including parts, labor, and claim documentationVerify warranty coverage and clearly explain warranty terms and conditionsWork closely with the service team to coordinate warranty repairs and help ensure timely completionTrack and order warranty parts as needed to avoid service delaysStay current on manufacturer bulletins, warranty policies, and proceduresAssist the service, parts, and new equipment sales departments with warranty-related questions or issuesCommunicate with customers, technicians, and manufacturers to ensure a smooth warranty processProcess freight claims for damaged shipmentsProcess contractor claims for damaged or non-working productsAssist with other warranty- and claims-related duties as neededQualificationsCustomer-focused attitude and ability to work effectively across departmentsStrong proficiency in Microsoft Excel and other Microsoft Office applicationsExcellent organizational and time management skillsAbility to manage multiple tasks in a fast-paced environmentStrong attention to detail and accuracyStrong written and verbal communication skillsPrior experience in a service or warranty administration role preferredKnowledge of HVAC parts, repairs, and warranty procedures preferred, not requiredCompensation and BenefitsCompetitive pay based on experiencePerformance-based incentive planFull-time positionPaid bi-weekly, with overtime as applicablePaid vacationHealth insurance (50% company-paid for employee or family; after 90 days)Long-term disability coverage (60% of salary; company-paid after 90 days)$20,000 company-paid life insurance (after 90 days)401(k) after one year with up to 4% company matchProfit-sharing contribution (historically funded)Full-time, in-office position based in Shreveport, LA.
