We provide personalized guidance in long-term care insurance claims management, home care coordination, senior living placement, and eldercare advocacy throughout Southern California.We are seeking a highly organized, detail-oriented professional to serve as both an Administrative Assistant and Long-Term Care Insurance Claims Coordinator. This individual will work directly with the owner and play a key role in supporting daily operations, client communications, and insurance claim management.Position OverviewThis is an ideal opportunity for someone who thrives in a fast-paced environment, takes initiative, and enjoys helping families through complex situations. The right candidate is a self-starter, resourceful problem solver, exceptional communicator, and team player who can manage multiple priorities with professionalism and compassion.Key ResponsibilitiesExecutive & Administrative SupportProvide direct administrative support to the owner.Manage calendars, appointments, and meeting coordination.Organize and maintain client records and documentation.Assist with CRM management and data entry.Prepare correspondence, reports, and client communications.Track projects and ensure timely follow-up on action items.Long-Term Care Insurance Claims CoordinationAssist with the collection and organization of claim documentation.Communicate with insurance carriers, healthcare providers, families, and care communities.Track claim status and maintain detailed records.Coordinate physician forms, assessments, and supporting documentation.Monitor deadlines and follow up on outstanding requirements.Help ensure claim files are complete and accurate.Client & Care Coordination SupportServe as a professional and compassionate point of contact for clients and families.Assist with intake calls and information gathering.Coordinate appointments, tours, and consultations.Support placement and home care operations as needed.Maintain confidentiality and compliance with HIPAA requirements.QualificationsMinimum 3 years of administrative, executive assistant, healthcare administration, insurance, or related experience.Exceptional organizational and time-management skills.Strong attention to detail and follow-through.Excellent verbal and written communication skills.Proficiency with Microsoft Office, Google Workspace, and CRM systems.Ability to manage multiple projects simultaneously.Comfortable learning new software and processes.Professional, compassionate, and service-oriented demeanor.Preferred QualificationsExperience with long-term care insurance claims.Background in healthcare, senior care, insurance, case management, or medical administration.Familiarity with HIPAA and healthcare documentation.Experience working with older adults and their families.What We're Looking ForOutstanding work ethicSelf-starter who takes initiativeStrong problem-solving abilitiesExcellent time management skillsHighly organized and detail-orientedTeam player with a positive attitudeNot dependent on constant direction or supervisionCommitted to delivering exceptional client serviceWhy Join Us?At 4Ever Young Living Eldercare Solutions, you'll have the opportunity to make a meaningful impact on the lives of seniors and their families while working closely with an experienced industry leader.
