This role is critical to ensuring the office operates efficiently, professionally, and with a high level of attention to detail.Reporting to the Head of Internal Operations, this individual will help support workplace experience initiatives, administrative coordination, onboarding logistics, and daily office operations in a collaborative and high-expectation environment.What You Will DoFront Office & Workplace ExperienceServe as the primary point of contact for visitors, guests, and vendors, ensuring a welcoming and professional experienceMaintain a clean, organized, and high-functioning office environmentManage conference room scheduling, meeting readiness, and common area organizationSupport overall workplace experience initiatives and office hospitalityAdministrative & Operational SupportProvide day-to-day administrative support to leadership and internal teamsCoordinate internal meetings, scheduling, and logisticsSupport expense reporting and administrative documentationAssist with travel coordination, calendar management, and operational projects as neededOffice Operations & CoordinationCoordinate meals, catering, and office-related services with strong attention to detailOrder and manage office supplies, inventory, and vendor relationshipsHandle incoming and outgoing mail, deliveries, and package coordinationSupport office systems and operational processes to ensure efficiencyOnboarding & Internal SupportAssist with new hire onboarding logistics, including workspace setup and day-one readinessSupport employee events, team meetings, and occasional off-site coordinationPartner cross-functionally with HR, IT, and Operations teams to support employee experienceWhat We Are Looking For1–3 years of experience in a receptionist, office coordinator, or administrative support roleBachelor’s degree in Business Administration or related field preferredStrong organizational and multitasking skills with exceptional attention to detailProfessional, polished demeanor with excellent interpersonal and communication skillsProficiency with Microsoft Office, including Outlook, Teams, Excel, and WordComfortable operating in a fast-paced, evolving environmentProactive, dependable, and solutions-oriented mindsetStrong sense of ownership and accountabilityWhy Join Hugel AestheticsThis is a unique opportunity to join a rapidly growing global aesthetics organization during an exciting phase of U.S. expansion. Several factors, such as experience, tenure, skills, and particular business needs, will determine an individual’s exact level of compensation. Base salary is only one element of employee compensation at Hugel Aesthetics. The total compensation could include bonuses or sales incentives.
