Administrative Support SpecialistProvides administrative support by conducting research, preparing statistical reports, and addressing routine information requests. Gathers, compiles, and verifies information and enters it accurately into documents such as reports, presentations, or forms, and office systems such as databases or spreadsheets. Assists with data collection, data entry, and report generation on various departmental activities. Supports administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Responds to or redirects routine inquiries from external or internal sources regarding the organization, its activities, or processes, ensuring prompt and accurate communication. Prepares documentation for vendor and supplier payments, submits documentation, enters payment requests into the accounting system, and responds to inquiries from accounts payable and payees. Documents and maintains departmental policies and procedures. Participates as a team member in departmental business improvement assignments and projects as needed. Performs routine administrative activities as per established procedures. Supports calibration data migration, system setup, procurement activities, certificate management, and scheduling coordination across multiple locations.Upload and structure existing calibration data into the Equipment Manager application following standardized work instructions. Clean and standardize raw supplier data to align with required data structures. Prepare and upload formatted datasets to ensure accurate system integration. Coordinate with branch teams to ensure calibration data is uploaded and validated. Manage creation and submission of calibration-related purchase orders through procurement systems. Support organization and centralization of calibration certificates for accessibility and compliance. Track and follow up on calibration schedules to ensure timely completion across sites. Provide general administrative support including documentation, communication, and coordination activities.Strong proficiency in Microsoft Excel for data handling and analysis. Experience working with Microsoft platforms and tools. Ability to work independently with minimal supervision. High attention to detail and accuracy in data processing. Strong written and verbal communication skills. Ability to follow defined processes and work instructions precisely.
