Executive Assistant

Overview: The Solutions Engineering Center (SEC) of Konica Minolta Business Solutions is seeking a Executive Assistant with excellent written & verbal communication skills and proven technical and analytical abilities to work in our Engineering team in Windsor CT. This person will provide general administrative support for the department leadership team, and act as a coordinator for the VPs & Directors. A successful candidate must have excellent interpersonal skills, a positive attitude and the ability to multi-task in a fast-paced software development environment. Responsibilities Act as point of contact for internal/external customers and provide general support to visitors, including international travelers. Manage and protect very active VP calendar of appointments by planning, advising, coordinating and aligning schedules Conduct billing/invoicing for US, European and Asian business units for domestic and international orders. Schedule internal & external/international meetings and conference calls including planning & set-up, agenda preparation and minutes documentation. Schedule and attend departmental meetings and take detailed notes as requested. Schedule and coordinate employee travel and logistics Track and maintain accurate records for all department assets Take notes and transcribe SEC meetings (ex: scrums). Order and maintain office supplies, ensuring break room & supplies cabinet is stocked and meeting rooms are properly supplied with necessary articles (projector, whiteboard markers, catering, etc.) Prepare, organize, order supplies and keep the Caf stocked with coffee/etc. Schedule and manage all department team building and morale boosting activities, including set up and tear down. Organize and manage SEC team member appreciation awards throughout the year. Perform other administrative duties as required. Technical / Analytical Duties Analyze, sort & mine for appropriate sales data in corporate monthly financial reports to create various summary reports for Management Team using Microsoft Office (ex: SEC Monthly Portfolio, Financial reports, Solution Business reports, etc.). Provide analytical support as needed for various department projects. Manage any ad-hoc projects by creating templates and coordinating team efforts. Analyze report data and metrics to identify trends and generate reports to management as required. Complete departmental technical trainings learning how to use the systems that SEC uses in daily business and processes as well as product knowledge (approximately 2 months of technical training) Become knowledgeable with systems / tools such as Dispatcher Phoenix, bug writing, testing, Gitlab, Dispatcher Status, STC, SW Development (Agile) Provide ad-hoc technical assistance to teams as required Qualifications Bachelors Degree preferred, with 5+ years related professional experience Strong knowledge of Microsoft Word, PowerPoint, and Excel Experience with Microsoft M365, including Outlook email and Calendar, Teams, SharePoint, Word, Excel and PowerPoint Experience with Ariba and Concur Travel & Expense Experience working in technology, engineering, software development, or a related field preferred Excellent written & verbal communication skills Excellent time management and organizational skills Excellent customer service & interpersonal skills Adaptable and flexible #LI-KD1
