This role will coordinate projects, maintain operational workflows and trackers, support accountability and follow-through across departments, and help improve visibility, efficiency, and communication across Operations and related cross-functional business areas. The ideal candidate is highly detail-oriented, highly tech-savvy, and able to proactively identify gaps, support process improvements, and help move initiatives forward in a fast-paced environment.Responsibilities Project Coordination & Operational ExecutionCoordinate operational projects, timelines, deliverables, and cross-functional execution across multiple departmentsConvert meetings, operational discussions, and leadership direction into structured action items, workflows, clear owners, deadlines, priorities, dependencies, and execution tracking.Support intake, prioritization, and sequencing of operational work, including triaging competing demands, identifying dependencies, and escalating conflicts, risks, or capacity concerns to leadership.Maintain accountability and project visibility by tracking progress, blockers, risks, outstanding deliverables, and stakeholder follow-through.Assist with operational reporting and status updates for active initiativesCross-Functional Communication & CoordinationCoordinate communication, follow-ups, and cross-functional alignment to support execution continuity and reduce communication breakdowns.Prepare agendas, briefs, project updates, proposals, and supporting materials for operational meetings and leadership discussionsSupport coordination of operational initiatives across Legal, Compliance, Product, Supply Chain, and other business functions Systems, Workflow & Process ImprovementBuild, maintain, and manage trackers, dashboards, workflows, and reporting structures to improve visibility of priorities and execution status.Support the development and maintenance of SOPs and process documentation to improve consistency and scalability across teams.Optimize operational systems and automations across Google Workspace, Monday.com, Adobe, and related platforms within approved frameworks.Identify workflow gaps and operational inefficiencies, propose solutions, and support implementation of approved improvements.Maintain structured digital and physical filing systems, shared drives, vendor documentation, contract records, and operational documentation standards.Compliance, Documentation & Operational SupportPartner with the Regulatory & Quality Compliance Manager, Legal partners, Supply Chain, Product Department and Finance Department as needed, as well as external stakeholders to coordinate NDAs, contracts, approvals, and compliance-related deliverables.Coordinate vendor onboarding workflows and documentation processes for vendors, manufacturers, laboratories, and consultants, including Adobe Sign routing, signature follow-up, filing, tracker updates, and internal and third-party communication coordination.Review contracts and related documentation for basic administrative completeness and accuracy, including company name consistency, dates, signatures, formatting, missing standard information, and routing readiness.Support documentation accuracy, organization, records maintenance, and follow-through related to regulatory workflows, compliance workflows, audits, and business accountability.Ensure secure handling and organization of sensitive operational and business information.Support retains sample program management and documentation.Escalate conflicts, risks, roadblocks, competing priorities, or capacity constraints to leadership promptly.This role does not provide legal review, approve contracts, negotiate terms, make contract changes, or make legal or compliance decisions.The role is responsible for coordinating the process, maintaining organization, tracking progress, routing documents, and ensuring appropriate follow-up.Other Duties: Please note this job description is not designed to cover or contain a comprehensiveBenefits: We offer a benefits package designed to support well-being and work-life balance:Paid vacation (varies by role and tenure)5 days of sick leave annually5 days of bereavement leave9 company-observed holidaysWellness reimbursements for chiropractic care, therapy, counseling, dental, and massageEmployer-contributed health insurance401(k) retirement plan (employee-funded)Flexible work options where applicableCompany-issued MacBookAnnual Company Retreat: Travel will be provided.
