Project Coordinator The Gideon’s Promise Project Coordinator is a bright, highly organized, and collaborative movement builder working to transform the criminal justice system by supporting a movement of public defenders who provide equal justice for marginalized communities. The Project Coordinator works in our Atlanta office under the supervision of the Director of Defender Development to assist in planning and organizing conferences, trainings, programs, and special events involving public defenders and others transforming the criminal justice system. The Project Coordinator performs the administrative functions aligned with our mission to improve the criminal justice system. Duties and Responsibilities: The Project Coordinator works in a fluid environment with daily duties that shift considering the projects being undertaken by Gideon’s Promise. Examples of ongoing programs can be found on our website, and include our Public Defender CORE 101 program, our Law School Partnership Project, our Public Defender Mentorship program, our Summer Law School Internship program, our Trainer Development program, our Leadership Development program, our Partner Office program, and our Alumni program. There are dozens of tasks and responsibilities that go into running these programs, as well as the other special events and projects that occur throughout the year. The Project Coordinator performs the crucial work that it takes to make these programs successful. The specific duties and responsibilities of the Project Coordinator includes the following: Organizational Support Provide administrative support as required by the Director of Defender Development. Provide logistical support for running conferences and events with tasks such as canvassing venue sites, booking flights, renting cars, reserving hotel rooms, arranging for meals, and interacting with vendors to make sure events run smoothly. Making phone calls, sending emails, and creating online polls to invite people to events, to register people for events, and to gather feedback from people about events. Attending Gideon’s Promise conferences and events to provide on-site support to insure the smooth running of such events. Order and maintain supplies, materials, and equipment needed to carry out conferences and events. Support and assist with full-staff organizational events and programs. Perform other duties as assigned. Assist with Training Project Management Utilize project management tools and techniques (i.e. spreadsheets, diagrams, timelines, process maps, etc.) to support Gideon’s Promise training and project completion. Manage training calendars, agendas, meeting minutes, and logistics. Assist with the development and implementation of comprehensive project plans while documenting detailed processes. Collaborate with organizational departments to ensure training materials, webpages, and organizational media are synchronized and updated. Other project management and administrative duties as assigned. Manage Programs Related Technology Assist with management of training registration databases and reporting. Assist with compilation, updating, and analysis of training participant data including attendance, assessments, and evaluations. Assist with the electronic organization, management, and uploading to a shared Defender Department database. Assist with management of and data collection from the mentorship systems that support training. Assist with software development testing and updates. Training Program Support Maintain and update all information related to partner offices, law school partners, and prospective partner offices, and related email distribution lists using record management systems. Manage the application and submission process for Continuing Legal Education (CLE) credits before, during, and after training. Manage large scale communication efforts including, but not limited to, program application launches, training registration, Law School Partner Project recruitment, etc. with direction from department leaders. Maintain and cultivate professional relationships with Public Defender leaders, Gideon’s Promise alumni, CORE 101 class members, and other key staff in partner offices. Assist with securing vendors for lodging, supplies, materials, food, and event space for all Gideon’s Promise training. Assist with the interview process for potential class members for CORE 101, which may include scheduling interviews, conducting interviews, and uploading materials. Assist with management of the Gideon’s Promise application and MOU processes for class participants. Qualifications Documented experience managing large- and small-scale projects utilizing project management tools and methodology is a plus, but not required. Ability to work collaboratively with team members and deliver optimum performance in a dynamic and fast-paced work environment. Skilled with prioritizing tasks, meeting deadlines, organizing project deliverables, and managing competing priorities. Exceptional administrative, technology, and audio-visual skills including a strong working knowledge of the Microsoft Office Suite and meeting scheduling tools. High degree of flexibility and diplomacy when interacting with staff, program participants, Gideon’s Promise community, and volunteers. Excellent verbal, written, and interpersonal communication skills. Bachelor's Degree in an appropriate field of study or equivalent work experience required. A nonprofit background is a plus, but not required. Project Management Professional (PMP) / certification is a plus, but not required.
