Customer Service Specialist

Customer Service Specialist TransMedics is seeking a Customer Service Specialist to serve as the primary liaison between our global customer network and Supply Chain Operations. This role is critical to maintain a world-class service level in our growing business and continue to drive a best-in-class customer experience. The specialist will coordinate end-to-end order cycle management to ensure orders are created appropriately in the system, track fulfillment and delivery milestones, and ensure returns are processed in a timely manner.This position is responsible for, but not limited to, the following:Order Management & FulfillmentProcess orders and monitor status for domestic and international customersEnsure order accuracy and timely deliveryCoordinate daily with warehouse operationsMaintain inventory accuracy and transactional disciplineEnsure compliance with procedures and regulatory requirementsCustomer Communication and Issue ResolutionServe as the main point of contact for internal and external inquiries regarding order status, delivery updates, etcProactively communicate any issues affecting order fulfillmentCoordinate returns (RMA) with field and Quality partnersBuild strong relationships to promote credibility and customer experienceProcesses, Systems & ReportingMaintain accurate order data within ERP and QMS systems.Support continuous improvement through accurate reporting and feedback on process bottlenecks.Track and report key performance metrics (e.g., On-Time Delivery, Service Level, Backorders).Ensure all transactions and material movement are up to date in ERP real-timeThis position will not have any management responsibilities.Work in an office environmentStanding, walking, or sitting for extended periods.Minimum qualificationsAssociate's degree or coursework in Supply Chain, Business, or equivalent related experience2-4 years of experience in customer service, order management, or Supply Chain coordinationOutstanding written and verbal communicationProficiency in ERP systemsStrong Excel and reporting skillsAttention to detail and organizationCustomer-focused mindset and problem-solving capabilitiesPreferred qualificationsBachelor's degree or coursework in Supply Chain, BusinessExperience working in a regulated industry (medical devices, pharma, etc.)As part of our long-term growth plans, TransMedics is excited to announce our plan to relocate our headquarters (HQ) to Somerville, MA by 2028. The expected hourly rate for this role is $33.20 - $41.42, which represents the company's current good-faith estimate of compensation for this position. Actual hour rate will depend on factors such as, but not limited to, candidate experience, qualifications, skills, and the specific work location.
