Reporting to the Director of Parent and Professional Development and the Senior Director of Program Management, the Executive Assistant provides strategic administrative support, helping to streamline operations and enhance team effectivenessOur Ideal Candidate:2+ years of experience providing executive and leadership supportProficient in MS Office Suite, Zoom, and CRM systemsDemonstrated expertise in calendar management and schedulingExcellent communication skills and ability to handle phone calls and messages with professionalism and efficiencyStrong organizational skills with the ability to prioritize tasks effectivelyExperience in making travel arrangements and managing travel documentsDetail-oriented and capable of handling various administrative tasks with accuracy and timelinessAbility to maintain composure and focus during complicated and high-pressure situations How You Will Spend Your Day:Manage calendars for the Director of Parent and Professional Development and Senior Director of Program Management, including confirming meetings, reserving meeting spaces, resolving scheduling conflicts, and providing timely reminders and updates to ensure seamless daily operationsScreen and manage all incoming phone calls and messages, directing them to appropriate parties and handling time-sensitive matters promptlyCoordinate travel arrangements, ensuring all necessary documents are in order and available as requiredHandle various administrative tasks, including payment authorization forms, expense reports, pre-travel requests, and document preparationAssist in the preparation of presentation materialsCollaborate with departments internally to ensure the timely handling of paperwork, invoices, and other procedural tasksCoordinate the preparation, proofreading, production, and distribution of reports, agendas, presentations, and other documents as neededMaintain a calm demeanor and prioritize tasks effectively, understanding the urgency and time sensitivity of various responsibilitiesWe'd love to hear from you.If this sounds like the job for you, we would love to help make that happen.
