Job Summary LDSS is seeking a highly organized and proactive Administrative Assistant to provide comprehensive administrative, clerical, and executive-level support to our teams and senior executives. This is a dynamic, multi-faceted role that involves responsibilities across project management, office coordination, communication, and executive assistance. The ideal candidate will be able to work independently, balance multiple tasks, and provide seamless support both in-office and remotely. This job requires you to obtain and maintain a public trust security clearance. Key Responsibilities: Administrative & Clerical Support: Create, proofread, and edit a variety of documents, including letters, memoranda, reports, and presentations. Manage electronic files in compliance with Records Management guidelines. Coordinate and schedule meetings, manage conference rooms, and handle travel preparations, including authorizations, vouchers, and reservations. Prepare and process training requests, manage calendars, and provide general office support such as photocopying, filing, and mail handling. Assist in maintaining and updating organizational charts, phone rosters, and related documents. Executive & Project Support: Provide direct administrative support to Board Members, senior executives, and senior staff, including scheduling meetings, preparing briefing materials, and managing correspondence. Manage the Board’s calendar, balancing multiple schedules, processing briefing requests, and facilitating voting processes using the correspondence management system. Serve as a liaison between executives and other departments to ensure smooth communication and timely follow-up on commitments. Assist with data collection, review, and analysis to support ongoing projects and operational objectives. Reception & Facilities Management: Serve as the primary receptionist on designated in-office days, managing visitor check-ins, badge issuance, and routing calls. Support facilities management by logging maintenance requests, coordinating with building engineers, and ensuring office supplies and equipment are maintained. Organize and maintain mailroom activities, including mail distribution, package receipt, and coordination with courier services. Customer Service & Team Collaboration: Act as a backup to the Board Executive Secretariat (ExSec) personnel and provide cross-departmental support as needed. Collaborate with the Facilities Manager on office equipment procurement and maintenance. Maintain a high level of professionalism and customer service when interacting with staff, visitors, and stakeholders. Skills Needed: Proven experience in administrative support, executive assistance, or a similar role. Advanced knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and other office management tools. Ability to handle confidential information with discretion. Excellent communication and interpersonal skills, with a customer-service mindset. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. Typing speed of at least 40 words per minute. Experience managing calendars, preparing travel documents, and assisting with meeting logistics.
