This full-time, benefits-eligible position plays a vital role in planning, coordinating, and executing a wide range of events that support the school's mission and strengthen engagement with parents, faculty, and friends of Berkeley. The Coordinator is responsible for event logistics, budget oversight, communications, and post-event follow-up, and reports directly to the Associate Director of Institutional Advancement. We are looking for a strategic planner and creative thinker who thrives in a fast-paced, team-oriented environment and demonstrates exceptional organizational and interpersonal skills.Primary ResponsibilitiesEvent Planning and Execution Serve as the lead planner and primary point of contact for all Advancement events, including but not limited to:Lifetime Giving Society celebrationsSociety for Excellence eventsTailgatesNew Parent gatheringsFaculty/Staff functionsManage comprehensive event logistics, including scheduling, communications, budgeting, materials, briefings, nametags, gifts, and follow-up.Support broader school-wide events such as Grandparents’ Day and Buc Bash.Coordinate with external vendors for contracts, catering, A/V equipment, rentals, and other event services.Accurately track and code event attendance in Raiser’s Edge.Maintain up-to-date event information on the school website and calendars.Monitor attendee engagement post-event, recommend improvements, and facilitate feedback sessions.Stewardship and Administrative SupportCreate and manage invitation and RSVP lists using Raiser’s Edge.Support a collegial and collaborative office culture.Perform other duties as assigned.Support the work of the annual giving programsSupport stewardship plans for major gift and annual giving societies through tailored recognition, communications, and events.Work closely with Advancement leadership to identify opportunities and trends to enhance the events program and deepen stakeholder engagement.Qualifications & CompetenciesRequired:Bachelor’s DegreeMinimum of three years of experience in special event planning; preference for experience with high-profile events in a corporate, school, or university settingProficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google WorkspaceStrong written and verbal communication skillsExceptional attention to detail and organizational skillsWillingness to work early mornings, evenings, and weekends as neededAbility to manage multiple projects simultaneously and adapt to changing prioritiesCollaborative, flexible, and self-motivatedPreferred:Experience using Raiser’s Edge or similar software for event functions including creating registration forms, tracking attendance and recording relationshipsCore CompetenciesExcellent communication skills; builds trust and demonstrates accountabilityCross-cultural competence and a commitment to inclusion and belongingServant leadership mindset with a drive for excellence and team developmentAbility to understand institutional goals and align responsibilities accordinglyStrong time management and deadline-oriented work ethicReceptive to feedback and committed to professional growthMaintains confidentiality and discretion at all timesCompensation And BenefitsThe appointment will begin as soon as possible, and is a full-time, salary, non-exempt position with full benefits.
