Office Assistant III
Nature of Work
Will perform specialized clerical work of an administrative nature of varied scope and complexity requiring a broad knowledge of standardized policies and procedures and confidentiality in the disposition of work matters. Work requires significant independent judgment, problem solving, and decision-making skills.
This position will ensure the successful processing of admissions applications, ensuring that all elements of applications are complete. Will maintain the integrity of the electronic student admissions records, and assist with identifying data integrity issues, troubleshooting solutions, and coordinating data clean-up and record retention. Will work with the college’s student information system and CRM. Also, this position will serve as a point of contact for Admissions, perform customer service, answer calls, manage all budget paperwork, and as requested, provide support for special Admission recruitment events.
Examples of Work Performed
Accesses various forms of information in order to compose, type and prepare routine correspondence, memoranda, manuscripts, reports, forms and related materials; reviews and monitors operational forms for accuracy and compliance with established guidelines seeking corrections from appropriate personnel as needed; produces reports and documents from rough draft or verbal instruction; records, transcribes and distributes meeting minutes.
Answers general and operational requests for information either in person or over the telephone; greets and directs visitors, students and staff; receives and routes correspondence and messages; opens, sorts and distributes mail.
Maintains office files, records and inventory of supplies; prepares and records payroll documents for student workers or employees; records expenditures and maintains budgetary and financial records.
Compiles and summarizes information and prepares standard forms and routine reports; maintains individual and departmental calendars; coordinates staff/faculty appointments, meetings and travel arrangements.
May train, schedule and guide the work of other clerical personnel, monitors office operations and staff workflow.
Performs other duties assigned within the scope of this classification.
Required Qualifications
High school diploma or equivalent, college coursework in Business Administration or related field, and 2 years of clerical experience is required. Candidates with expert data entry skills and the ability to maintain high productivity throughout interruptions will find themselves well suited in this position. Should possess demonstrated organizational and analytical skills as well as excellent keyboarding and strong computer skills. A commitment to serving students, strong interpersonal skills, and advanced problem-solving abilities are essential. The successful applicant will possess effective verbal and written communication skills, a customer service philosophy, and a willingness to make quality improvement in the work operations and environment.
Preferred Qualifications
Exceptional decision making, time management, analytical skills, and attention to detail consistent with Peru State brand is highly preferred.
The ability to multitask and be detail oriented, and have strong critical thinking, resource skills, problem-solving abilities, and experience with consistent review and proofing of documents is also strongly preferred.
