About the OpportunityWe're seeking an organized, professional, people-oriented Office & Client Services Coordinator to become a key part of our growing team.This role combines front-office hospitality with operational coordination and administrative ownership. You'll help create a welcoming, professional experience for clients, vendors, partners, and visitors while supporting many of the day-to-day processes that keep our business running smoothly.From coordinating client equipment purchases and deliveries to supporting invoicing, managing inbound requests, maintaining operational records, and helping leadership stay organized, you'll play a central role in both the client experience and internal operations of our company.The right candidate is someone who enjoys creating order from complexity, takes pride in exceptional service, follows through on details, and can be counted on to keep important tasks moving without constant oversight. Responsibilities:Serve as the welcoming first point of contact for visitors, vendors, partners, and incoming inquiries.Answer, route, and track incoming phone calls and general inquiries.Monitor and coordinate inbound requests received through shared email accounts and other communication channels.Support client equipment procurement and delivery coordination for routine technology purchases.Assist with invoice preparation, client billing processes, and internal administrative workflows.Coordinate office operations, supplies, vendor relationships, and facility needs.Maintain accurate client and operational records within company systems.Support leadership with scheduling, coordination, and special projects.Help create a consistently welcoming, professional, and organized experience for clients and team members alike.Identify opportunities to improve processes, organization, and client experience. Required Qualifications:Relevant experience in office administration, client services, operations, hospitality, or professional services environments.Exceptional verbal and written communication skills.Strong organizational skills and attention to detail.Demonstrated ability to manage multiple priorities and follow through on commitments.Comfort learning and working within business software platforms and systems.Professional presence and a genuine desire to help people.Positive, team-first attitude and strong sense of ownership.Ability to work independently while contributing positively to a collaborative team environment. Bonus Points:Experience in a professional services environment, such as consulting, legal, accounting, architecture, healthcare, commercial real estate, technology services, or similar industries.Experience with CRM platforms such as HubSpot, Salesforce, or similar systems.Experience with accounting or invoicing platforms such as QuickBooks.Experience with ticketing, workflow, project management, or service delivery software.Experience supporting a growing small business or entrepreneurial organization.
