Office AssistantThe Buffalo Jewish Federation is seeking a dependable and organized Part-Time Office Assistant to support day-to-day office and administrative functions across departments. This role is ideal for someone who enjoys supporting a mission-driven team in a collaborative environment. This position reports to the Chief Operations Officer. Responsibilities & Duties: Respond to general inquiries by phone and email, providing helpful and professional communication. Support event preparation, including name tags, sign-in sheets, and printed materials. Assist with mailings and general correspondence, including acknowledgements and other community communications. Provide administrative support to the operations team and other departments as needed. Update and maintain internal records and contact information in the organization's database (CRM). Help with routine office tasks such as filing, data entry, and organizing materials. Monitor and coordinate office supplies and equipment maintenance. Schedule meetings and coordinate calendars for staff, committees, and other organizational needs. Assist with light bookkeeping tasks such as preparing deposits. Attend meetings, take detailed notes, and transcribe minutes in the appropriate format for distribution and recordkeeping. Other duties as assigned. Qualifications: Education and Experience: Associates degree, minimum. 5+ years of office experience in an administrative assistant setting. Experience working with not-for-profit boards preferred. Knowledge, Skills & Abilities: Administrative Skills: Demonstrated ability to complete administrative functions effectively. Communication: Excellent written, oral, and interpersonal communication skills. Organization & Time Management: Highly organized with strong time management skills. Technical Proficiency: Proficient in Microsoft 365 with the ability to learn specialized programs such as BoardEffect and Salesforce. Adaptability: Comfortable with evolving technology and eager to acquire new technical skills. Initiative & Problem-Solving: Positive, proactive, and solution-oriented with a "make it happen" mindset. Teamwork & Independence: Able to work independently or as part of a team, including in remote environments. Project & Deadline Management: Strong ability to manage multiple projects and meet deadlines consistently. Regularly works outside normal work hours including weekends and evenings as needed to meet organization needs. Valid NYS driver's license and access to reliable transportation.
