The Intake Coordinator is responsible for managing referrals, conducting intake screenings, scheduling appointments, verifying insurance eligibility, maintaining accurate documentation, and ensuring a smooth onboarding experience for clients and families.The ideal candidate is detail-oriented, customer-service driven, and capable of working in a fast-paced behavioral health environment while maintaining confidentiality and professionalism.Essential Duties & ResponsibilitiesServe as the primary contact for new client inquiries via phone, email, and walk-insConduct initial intake screenings and gather demographic, insurance, and referral informationSchedule intake assessments and coordinate appointments with clinical staffVerify insurance eligibility and obtain authorization when requiredMaintain accurate client records within the electronic health record (EHR) systemEnsure all intake documentation, consents, and releases are completed and uploaded timelyCommunicate with referral sources, hospitals, schools, community agencies, and families regarding intake statusExplain agency programs, services, policies, and procedures to clients and caregiversMonitor intake pipelines and maintain referral tracking logsAssist with collecting required documentation for admissions and program eligibilityCoordinate with clinical and administrative staff to ensure continuity of careFollow HIPAA and confidentiality guidelines at all timesAssist with front office administrative duties as neededParticipate in staff meetings, trainings, and quality improvement activitiesMust be willing to travel to clients home in order to fill form and get parent signatures. (Not in all cases)QualificationsEducation & ExperienceHigh school diploma or GED requiredAssociates or Bachelors degree in Healthcare Administration, Social Work, Psychology, Human Services, or related field preferredMinimum of 12 years of administrative, intake, healthcare, or behavioral health experience preferred xhyhwjd Experience working with Medicaid, managed care organizations, or behavioral health services preferredKnowledge, Skills & AbilitiesStrong communication and interpersonal skillsExcellent organizational and multitasking abilitiesAbility to handle sensitive information with discretion and professionalismKnowledge of medical terminology and behavioral health services preferredProficient in Microsoft Office, Google Workspace, and EHR systemsAbility to work independently and as part of a teamStrong problem-solving and customer service skillsPhysical RequirementsAbility to sit for extended periodsFrequent use of computers, phones, and office equipmentAbility to occasionally lift up to 15 pounds
