Facility Manager & AV Specialist
Role DescriptionThe Westwood Facilities Manager is responsible for maintaining, protecting, and elevating the physical environment of the property to ensure a clean, safe, and exceptional experience for both team members and event guests. This role blends hands-on maintenance, operational oversight, and cross-team collaboration, with a strong emphasis on hospitality and presentation.Note: This role will continue to evolve as we refine systems and processes together.Key Responsibilities:Facility Operations & MaintenanceOversee daily cleaning and maintenance of interior and exterior spaces, adapting to seasonal and weather-related needsMaintain event-ready conditions across all spaces with consistent attention to detailMonitor safety, cleanliness, and overall property condition, including landscaping observationsPerform or coordinate routine maintenance and repairsSchedule and oversee recurring deep cleans (e.g., high windows, fixtures, exterior glass)Inventory, Supplies & SystemsAssess condition of assets; clean, repair, or replace as neededManage ordering, stocking, and organization of facility suppliesDevelop and maintain SOPs, inventory trackers, and facilities documentationProvide recommendations for tools, systems, and process improvementsEvent Operations SupportPartner with Events & Logistics to execute weekly setups and midweek resetsOversee floor plan execution, including leading the flipper team and managing full set/tear-downsEnsure all event spaces meet presentation standards prior to guest arrivalAV SystemsUndergo training with Westwood’s AV providerPost-training, have full confidence in operating Westwood’s audio/video/security systems.Troubleshoot as needed in support of events teams on wedding or event days.Vendor & Partner ManagementManage relationships with external vendors (e.g., linen services, waste management, AV, fire safety, plumbing)Coordinate routine service visits and ensure compliance with safety standardsCross-Team CollaborationCollaborate with the Bar Director to ensure proper setup and resource readiness for eventsMaintain working knowledge of the venue’s AV systems and troubleshoot as neededCo-lead biannual flipper training in partnership with Events & LogisticsReporting & CommunicationDocument facility needs, track maintenance activity, and communicate updates to leadershipProactively identify risks, inefficiencies, and opportunities for improvementSchedulePart-time (approximately 30 hours/week)Requires on-site early morning and evening availability, including weekendsEssential Skills & QualificationsExceptional attention to detail and pride in presentationStrong communication skills, both written and verbalProactive problem-solving and solution-oriented mindsetHighly organized with the ability to prioritize and manage multiple responsibilitiesPositive, professional demeanor in a fast-paced, client-facing environmentStrong sense of ownership and team-oriented mindsetBasic computer proficiency (inventory tracking, documentation, communication tools)Company DescriptionWestwood Vowery & Estate is a purpose-built luxury wedding and event destination located in Westfield, serving the greater Indianapolis area and beyond.
