Job Title: Operations AssociateLocation: RemoteWorking Hours: ESTAbout the RoleWe’re hiring a Operations Associate to act as the operational backbone of our client’s deal pipeline.This is not a traditional investment banking role. There is no heavy modeling, no client-facing pressure, and no deal origination expectations.Instead, this role is about execution, organization, and follow-through.You’ll be responsible for ensuring that every deal, follow-up, and task is tracked, updated, and moving forward—without anything slipping through the cracks.What You’ll Be Doing1. BD Pipeline Management (50%)Own and manage the deal pipeline inside HubSpotTrack inbound interest, responses, and follow-ups across dealsSend consistent follow-ups and reminders on slow-moving opportunities (6–12 month cycles)Maintain clean, structured CRM data (notes, stages, next steps)Flag urgent items and ensure leadership stays on top of priorities2. Deal Execution Support (50%)Update and maintain Excel templates for deal tracking and reportingFormat data into clean, presentable outputs (graphs, summaries, visuals)Support preparation of client-facing materials and pitch contentCoordinate scheduling for meetings and deal-related callsProvide general operational and administrative supportWhat Success Looks LikeHubSpot is fully up to date, structured, and reliableFollow-ups are sent consistently without being askedNo deal or communication falls through the cracksExcel reports are clean, accurate, and delivered on timeLeadership does not need to chase you for updatesMust HavesHands-on experience with HubSpot CRM (deal tracking, tasks, follow-ups)Intermediate Excel skills (formatting, templates, basic data handling)Strong written English (you’ll be drafting follow-ups independently)Extremely organized and detail-orientedComfortable with high-volume follow-ups and repetitive tracking workProactive mindset — you flag issues before being askedMust be available to work EST hoursMust be based in South Africa or Latin AmericaNice to Have (Not Required)Exposure to finance, M&A, or investment banking environmentsExperience supporting a founder or senior executiveFamiliarity with pitch decks or data visualization toolsExperience with CRM workflows or automationInterview Process:Initial Phone ScreenVideo Interview with Pavago RecruiterClient InterviewOffer & Background Verification
