Firm Administrator

Williams Hart & Boundas, LLP is seeking a Firm Administrator to provide strategic human resources leadership and oversees the day-to-day administrative and operational management of non-legal support functions for its Texas-based plaintiff’s law firm practicing throughout the United States. This role partners closely with the Managing Partner and Senior Lawyer Council to ensure operational excellence, regulatory compliance, and a positive, high-performing firm culture. The Firm Administrator works in tandem with the Controller, IT Department Director, Litigation Support Manager, and Marketing Strategist to deliver administrative leadership and decision support to drive operational efficiency and support the firm’s mission of delivering exceptional legal services to internal and external clients. Therefore, we are looking for someone that is a detail oriented, a great listener, multitasker, and internal client focused. To be successful in this role you must be self-motivated, initiative driven and work well with a collaborative team. Candidates should reside in the Greater Houston area as this opportunity is on-site working in our Houston office alongside awesome co-workers.Key Responsibilities:Human Resources Leadership & AdministrationProvide comprehensive Human Resources support to Partners, Attorneys, and Support Staff, including:Employee Relations and performance managementHRIS administration (including Payroll Processing)Recruiting, onboarding, and offboardingRetention strategies, professional development, and performance coachingEmployee benefits administration (health, dental, vision, FSA, group/voluntary benefits, 401(k) plan, wellness, and related programs)Administer the firm’s property and professional liability Insurance programsLead and coordinate firm-wide employee events, including annual holiday celebrations and community-focused initiativesFinancial, Vendor & Policy ManagementManage the firm’s HR budget, expense controls, and firm credit card administration (AMEX).Oversee all non-legal contractors and external vendors, including vendor negotiations and performance managementCreate, administer, and routinely update firm Policies and Procedures and the Employee Handbook, under the direction of the Senior Lawyer CouncilFirm Operations & CultureServe as a trusted liaison between Partners, Attorneys, and Support Staff to address staffing needs, workload management, morale, and firm culture.Foster and promote a collaborative, inclusive, and high-performing workplace while supporting work-life balanceBe creative mind with an ability to suggest improvements as necessary or at the Senior Lawyer Council’s requestManage Facilities Operations, including space planning, maintenance, and vendor coordination.Programs, Safety & ComplianceOrganize, manage, and oversee the firm’s Summer Clerkship ProgramsDevelop, manage, and enforce the firm’s Safety Program, including coordination with external tenants located within the office buildingEnsure compliance with employment laws and regulations applicable to a Texas-based firmQualifications:EducationBachelor’s degree required (Human Resources, Business Administration, or related field preferred)ExperienceMinimum of 8-10 years of progressive experience in firm administration and/or human resources leadership, preferably within a law firm or professional services environment.Demonstrated experience managing HR functions for mid-sized organizations with diverse support staff roles.Preferred QualificationsExperience in a law firm or professional services environmentExperience with Paycor and Employee Navigator are a plus but not requiredSHRM-CP or -SCP, PHR, SPHR Certifications are a plus but not requiredKnowledge, Skills & AbilitiesStrong knowledge of employment law, HR best practices, and compliance requirements, particularly within Texas (and Florida)Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook365)Proven ability to partner with executive leadership and collaborate across finance, marketing, and IT functionsExceptional interpersonal, communication, and conflict-resolution skillsPossess a high level of discretion, professionalism, and sound judgmentStrong organizational skills with the ability to manage multiple priorities in a fast-paced legal environmentExcellent time management skills along with the ability to be flexible to meet the needs of Senior Lawyer CouncilCompensation and Benefits:Salary Range: Commensurate with experienceBenefits: 401(k); Health, Dental, and Vision insurance; Employee Assistance Program (EAP); Flexible Spending Account (FSA); Life Insurance; and Paid Time Off (PTO)Work Schedule: In-Office; Monday – Friday ;7.50-hour shift
