Together, we're building healthier, more resilient organizations—one person at a time.What you will do:The Benefits Manager is responsible for managing and executing the day-to-day operations of employee benefits programs across the United States. This role ensures accurate administration, compliance, vendor coordination, and seamless integration with payroll and HR systems. The position requires strong attention to detail, ownership of processes, and the ability to manage multiple priorities in a fast-paced environment.Responsibilities:Benefits Administration Manage daily benefits operations, including enrollment approvals, eligibility tracking, and employee communications using bswiftOversee administration of medical, dental, vision, FSA, HSA, HRA, COBRA, and voluntary benefitsLead open enrollment activities, including system configuration, vendor coordination, and employee educationDevelop and maintain benefits communication materials to improve employee understanding and engagementEnsure accuracy of benefit elections, payroll deductions, and system recordsVendor Management & Billing Partner with brokers and vendors to manage benefit plans, renewals, and ongoing service deliveryManage relationships and billing processes with our benefit providers.Review, reconcile, and approve invoices, including monthly funding, administrative fees, and claimsLead recurring vendor meetings to review reporting, funding, and service issuesComplete monthly benefit billing reconciliations and resolve discrepanciesRetirement & Compliance Administer 401(k) plans, including enrollments, contribution changes, and payroll deductionsCoordinate and support annual 401(k) audits and Form 5500 filingsEnsure compliance with federal and state regulations, including ERISA, COBRA, and FMLA requirementsMaintain documentation and support audit readiness for all benefit programsPayroll & HRIS Integration Partner closely with payroll to ensure accurate processing of new hires, terminations, and status changesManage salary updates, benefit deductions, and leave tracking (FMLA, parental, medical)Perform pre- and post-payroll audits to validate benefit deductions and contributionsUpload and reconcile benefit funding (HSA, FSA, 401(k), prevailing wage) through vendor portalsMaintain PTO and leave balancesLeave of Absence Administration Support and track employee leaves, including FMLA, parental leave, and short-term disabilityEnsure compliance with company policy and regulatory requirementsMaintain leave tracking systems and provide reporting as neededReporting & Systems Management Prepare and analyze weekly, monthly, and annual benefits reportsMaintain benefits databases and ensure data integrity across systemsTroubleshoot system issues and partner with vendors to resolve data or functionality concernsProcess Improvement & Projects Identify opportunities to improve benefits administration processes and workflowsSupport implementation of new systems, vendors, or benefit programsParticipate in cross-functional projects impacting HR, payroll, and benefits operationsQualifications/Skills: Bachelor's degree or equivalent experience in HR, benefits, or related field4+ years of experience in benefits administration or HR operationsStrong knowledge of U.S. employee benefits programs, including health, retirement, COBRA, and FMLAExperience using Paylocity, ZOHO People, JIRA and/or Workday preferredAdvanced Excel and reporting skills preferredStrong organizational, analytical, and problem-solving skillsAbility to manage multiple priorities and meet deadlines with minimal supervisionWhat we offer:At Workplace Options, we don't just deliver wellbeing services to our clients, we champion wellbeing for our own employees as well.
