This role serves as a trusted operational partner to providers, pathology teams, and internal stakeholders, ensuring reliable execution, workflow efficiency, and a high-quality provider and patient experience from order initiation through report delivery. Operating with autonomy, the ECOM owns workflow performance and case-level execution, proactively identifying and resolving issues that impact timeliness, accuracy, and overall experience.Job ResponsibilitiesOwn and manage the end-to-end lifecycle of assigned cases, ensuring accuracy, completeness, and timely progressionReview and verify test orders and documentation; resolve discrepancies proactivelyCoordinate with providers, clinic staff, pathology teams, and internal teamsMonitor case status and implement corrective actionsMaintain a primary focus on case management excellence across the full lifecycleProactively resolve issues impacting case quality, turnaround time, or provider experienceMaintain working knowledge of products, services, and platformsSubmit required reports and documentation accurately and on timeServe as a primary operational partner and point of contact for providersProvide guidance on ordering processes, EMR workflows, and documentationEstablish and maintain proactive, ongoing communication with providers and care teamsProvide education on products, tools, clinical applications, appropriate patient selection, and testing indicationsSupport training and onboarding of new and existing staff on workflows, systems, and proceduresAssist providers with ordering processes and general understanding of reports within approved scopeReinforce standardized workflows and best practices to improve case quality and turnaround timeCoordinate documentation management and report distributionSupport billing-related inquiries through internal coordinationMaintain tracking of case activity and operational metricsEnsure seamless coordination across all workflow touchpoints to minimize disruptionExecute responsibilities in alignment with policies, SOPs, and regulationsMaintain audit-ready documentationIdentify and escalate risks impacting case integrity, turnaround time, provider experience, or patient careParticipate in training and improvement initiatives.Accurately document all case activity and stakeholder interactions in CRM and internal systemsMaintain regular communication with internal teams to share case trends, challenges, and improvement opportunitiesShare operational insights and best practices to improve execution and consistencyDrive improvements in turnaround time, documentation completeness, and case qualityIdentify workflow inefficiencies and implement improvementsContribute to operational consistency and performance optimization across teamsAdditional Responsibilities (As Aligned with Program Scope)Support consent and documentation processesAssist with special case requirementsParticipate in meetings and trainingMaintain accountability for company tools, systems, and equipmentClient-Specific Customization & Site IntegrationThis role is intentionally designed to be adaptable to the unique culture, expectations, and operational environment of each client site. While core responsibilities, compliance requirements, and scope-of-practice guardrails remain consistent, select elements of the Clinical Operational Specialist role may be customized to ensure optimal fit, effectiveness, and value realization.Customization is governed through a structured, documented process and approved by Caris leadership to protect regulatory integrity and operational consistency.Customizable Elements (Within Approved Guardrails)Site Culture & Care Model AlignmentAdaptation of communication style, on-site presence, and daily engagement to align with the client’s clinical culture, patient population, and multidisciplinary care model.Role Emphasis & Coverage ModelAdjustments in focus areas (e.g., phlebotomy-forward support, specimen processing, pathology coordination, clinic-facing execution) based on site needs, volume patterns, and approved scope.Operating Rhythms & IntegrationAlignment of schedules, coverage windows, escalation pathways, and interaction cadence with clinic flow, pathology operations, and care team practices.Client-Specific Success MetricsSite-level operational goals such as turnaround time improvement, redraw or QNS reduction, access optimization, documentation completeness, or patient experience support, defined at deployment.All customization remains subject to Caris Life Sciences’ compliance, risk, and quality standards and may not expand scope beyond approved clinical activities.Required QualificationsBachelor’s degree or equivalent experience3+ years of healthcare or diagnostics experience3+ years provider-facing or customer-facing experience in clinical environmentsStrong problem-solving and decision-making skills in real-time situationsUnderstanding of clinic-based workflows and healthcare delivery environmentsAbility to learn and effectively use proprietary systems and platformsDemonstrated ability to manage complex workflowsValid driver’s licensePreferred QualificationsOncology, molecular diagnostics, or precision medicine experienceExperience supporting physicians in clinical environmentsExperience managing end-to-end case workflowsCross-functional collaboration across care teamsKnowledge of compliance and regulatory requirements EMR and clinical systems familiarityStrong analytical and communication skillsClinical or office-based environmentPHI access requiredAbility to manage multiple concurrent cases with high accuracy and attention to detailAbility to sit/stand for extended periodsPeriodic travel required, including possible evenings, weekends, or holidays.Physical DemandsMust possess ability to sit and/or stand for long periods of time.Must possess ability to perform repetitive motion.Ability to lift up to 25 pounds.TrainingAll job specific, safety, and compliance training are assigned based on the job functions associated with this employee.OtherPeriodic travel for training purposes.Annual Hiring Range$70,000 - $90,000Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level.
