Department Overview The Long-Term Foster Care (LTFC) program at Lutheran Family Services Rocky Mountains (LFSRM) provides care and support to Unaccompanied Children (UC) in federal custody as they wait for their immigration case to be resolved so they can transition to a more long term program or living arrangement. UCs are placed with licensed foster families and attend public school while they are in the program, allowing them to have more normalized experiences in family based environment. Job Summary & Responsibilities The Medical Coordinator/ Program Assistant is responsible for serving as the subject matter expert for relevant insurance panels, required medical and dental services for program youth, and for maintaining positive working relationships with contracted providers. This position is also responsible for reconciling and addressing all billing errors to ensure accurate billing with no profit loss. Additionally, this position is responsible for completing clerical and administrative tasks to support the LTFC program. Put them and their caregivers at the heart of all decisions.</li><li>Improve program processes: Experience with aligning practices, policies, and procedures for clear and consistent practices across all programs. </li><li>Apply medical billing expertise: Experience with medical billing best practices.</li><li>Build helping relationships: Experience with developing a collaborative helping relationship, addressing any ruptures or strains in the relationship, fostering bonding and gaining trust and cooperation through empathic listening, caring, warmth and authenticity.</li><li>Work collaboratively with program leaders: Familiarity with collaborating with program leaders and other departments ensuring effective service and communication. </li></ul>Foundational Competencies <ul><li>Critical Thinking: Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.</li><li>Complex Problem Solving: Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.</li><li>Coordination: Adjusting actions in relation to others' actions.</li><li>Active Listening: Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. </li></ul>EXAMPLE ACTIVITIES <ul><li>Formulate treatment authorization requests to underwriters for clients, as needed.</li><li>Service as the subject matter expert for relevant insurance panels.</li><li>Schedule and facilitate initial medical screenings, follow up visits, and any other medical/ dental related appointments as required by federal requirements.</li><li>Develop, recruit, and maintain positive working relationships between contracted providers to include all health providers and related partners.</li><li>Manage and maintain the record-keeping process to ensure there is effective filing system in which information is forwarded smoothly.</li><li>Reconcile and address all billing errors to ensure accurate billing with no profit loss.</li><li>Data entry including document scanning and reporting using identified databases.</li><li>Compiles data as needed for monthly reporting.</li><li>Provides administrative support to program staff to ensure program runs efficiently. </li></ul>Required Certifications <ul><li>High School diploma or equivalent.</li><li>Minimum 1 year experience working with medical providers and clerical and administrative work experience. </li><li>Bi-Lingual English and Spanish strongly preferred. </li></ul>REASONABLE ACCOMODATIONS <ul><li>To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
