Primary Responsibilities <ul><li>Drafts and formats correspondence, briefs and other legal documents.</li><li>Prepare and process engagement letters, new client/matter requests.</li><li>Files court documents accurately and timely, following federal, state and judge-specific requirements.</li><li>Regularly and accurately proofread all documents to ensure accuracy and completeness prior to distribution or filing.</li><li>Maintains updated client files, including paper-based and electronic files; complies with office policies regarding file management and recordkeeping.</li><li>Maintains and follows up on attorney client deadlines and calendars appointments through the electronic calendaring and docketing systems.</li><li>Arrange meetings and conference calls; may order meals, refreshments, and equipment, as requested.</li><li>Coordinate travel arrangements for assigned attorneys, when requested.</li><li>Accurately enter, review and revise timekeeper time entries including consistent identification of litigation codes, when applicable.</li><li>Organizes travel for assigned attorneys and completes expense reimbursements in a timely manner.</li><li>Reviews and ensures accuracy of vendor invoices; timely submittal of invoices and check requests.</li><li>Participates in the timely review and submission of pre-bills and/or client bills.</li><li>Willing and capable to offer assistance to others when needed.</li><li>Able to juggle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seeks assistance when needed.</li><li>Provide assistance to visitors, paralegals and attorneys whose secretaries are absent, and accept overflow work from other secretaries. </li></ul>Requirements <ul><li>High school diploma or GED required (college degree is preferred, but not required).</li><li>Five years of experience as a litigation legal secretary required; labor and employment experience is preferred, but not required.</li><li>Ability to accurately format documents in accordance with firm standards for format, style and quality, including table of contents and table of authorities.</li><li>State and federal court filing experience (manual and electronic).</li><li>Demonstrated knowledge of State and Federal filing procedures (e.g., Pacer, ECF).</li><li>Demonstrates strategic thinking, problem solving and decision-making skills.</li><li>Attendance & Punctuality: Be consistently at work and on time; arrive at meetings and appointments on time.</li><li>Communication: Possess excellent verbal and written communication skills.</li><li>Customer Service: Responds promptly to attorney and client requests for service and assistance.</li><li>Dependability: Results-oriented, commits to the hours necessary to complete assignments.</li><li>Professionalism: Approaches others in a tactful and respectful manner; must work well under pressure; ability to adapt to fluctuations in workload and changes in responsibilities.</li><li>Team Work: Contributes to building a positive team spirit; supports everyone’s efforts to succeed; maintains a positive "can do" attitude.</li><li>Technical Skills: Strong skills in MS Outlook, Word, Excel and PowerPoint; ability to use phone system, copier, scanner, fax, and printer. iManage (or other comparable document management system), CompuLaw (Aderant knowledge is a plus). </li></ul>What We Provide Fisher Phillips offers a comprehensive benefits package for staff that includes medical, dental, and vision benefits, paid time off, paid holidays, 401(k) and profit sharing, life insurance, long-term disability, and an employee assistance program.
