Accounts Payable Specialist Summary The Accounts Payable Specialist will be a highly motivated individual with a ‘can do’ attitude, critical thinking skills, analytical mind, able to work independently, and be a team player. They must be able to work in a high volume, fast-paced environment and demonstrate good communication skills. They will be responsible for managing the accounts payable process for their assigned property(s) while fully understanding and enforcing standard operating procedures relating to accounts payable and the planned purchase process. The Accounts Payable Specialist supports the Accounts Payable Supervisor and Accounts Payable Manager within the areas of invoice processing, purchase orders, and additionally assigned tasks and/or projects.   Essential Functions Job duties include, although are not limited to: <ul><li> Process and code invoices ensuring proper department/account coding to route invoices for approval in BirchStreet.</li><li> Reconcile purchase order to invoice exceptions.</li><li> Process weekly payment runs (check, virtual master card, direct deposit).</li><li> Review outstanding payments.</li><li> Complete weekly On Hold Reports for the property finance and purchasing teams.</li><li> Respond promptly to vendor & property phone calls and emails.</li><li> Managing key relationships with both internal and external parties.</li><li> Processing rush requests and acting with a sense of urgency for time sensitive items.</li><li> Perform vendor statement reconciliation</li><li> Voiding invoices/credits/payments, placing stop payments, and reissuing payments.</li><li> Cleaning up of property(s) for month end.</li><li> Reconciling the AP Aging Report and the AP Trade accounts. </li></ul>AVERAGE % OF TIME ON BASIC FUNCTIONS <ul><li>65% Processing invoices and weekly payment runs, completing weekly On Hold Reports </li><li>20% Responding promptly to vendor and property phone calls and emails, processing rush requests and acting with a sense of urgency for time sensitive items </li><li>15% Performing vendor statement reconciliation, requesting voids and stop payments, reviewing outstanding payments and credits, month end reporting, other miscellaneous functions </li></ul>  Supportive Functions  In addition, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be determined based upon the particular requirements of the department: <ul><li> Maintain refund check log of checks received from vendors.</li><li> Review incoming mail for returned checks, invoices, and statements.</li><li> Set up vendors in Great Plains, ensuring Federal Tax ID numbers are obtained for 1099 vendors.  Request for W-9 forms to be completed and filed for each vendor. </li><li> Provide training to property associates on AP process including but not limited to purchase orders and check requests.</li><li> Assisting with monthly use tax audits.</li><li> Review integration failures.</li><li> Additional duties as necessary and assigned. </li></ul>    Specific Job Knowledge, Skills And Abilities  The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities: <ul><li> Must be able to speak, read, write, and understand the primary language(s) used in the workplace.</li><li> Must be able to read and write to facilitate the communication process.  </li><li> Requires good communication skills, both verbal and written.</li><li> Must possess basic computational ability.  </li><li> Must possess basic computer skills.  </li><li> Knowledge of computer accounting programs, preferably Great Plains and Birchstreet.</li><li> Ability to solve problems and make rational decisions.</li><li> Knowledge of Resort and Hotel operations. </li><li> Understand the importance of building vendor relationships. </li></ul>  Qualifications <ul><li> High School or equivalent education required.
