Job Summary:
Come join us in the Office of Admissions and Recruitment (OAR) within the Division of Enrollment Management at UW-Madison! Our team is dedicated to recruiting, admitting, and enrolling the next generation of UW-Madison undergraduates. The Manager for Strategic Initiatives anchors strategic operational planning to maximize synergies, efficiencies, productivity, and collaboration across the office. They work collaboratively with OAR team and process leads who manage projects as well as content experts and select partners. They provide leadership in cataloging and communicating recurring and ad-hoc projects that support OAR's mission and goals. They also serve as project manager on select, ad-hoc functional projects, leveraging the knowledge of stakeholders and empowering decision-makers to ensure their success in achieving deliverables and milestones. Projects include business functions that cross teams such as staffing structures, processes, and services; they typically do not include projects related to technology, application review, or recruitment-specific activities. Additionally, the person in this role supports team, process, and committee leads with project management, providing concepts, knowledge, and skill-building opportunities. Finally, they also serve as a member of OAR's management team, working collaboratively with office and process leads to inform sustainable and effective strategies that influence the overall direction of the office. We are seeking a leader with expertise in the organization and implementation of project management concepts in a way that's nimble and responsive to the needs of a high volume, complex, and dynamic organization. Someone who can develop positive working relationships and cultivate trust among a diverse group of team members who also is skilled in meeting facilitation will be positioned well for success in this role. Reporting to the Senior Associate Director for Administration & Engagement (A&E), the Manager for Strategic Initiatives is among a team of six within the A&E unit, which is focused on advancing the mission of OAR by strengthening and supporting people, systems, learning, and processes. Responsibilities: Manages multiple projects simultaneously from start to finish or one large project impacting the institution at-large under general supervision. 30% Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues 10% Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met. Follows established change control processes if targets can no longer be met 30% Prepares regular reports to communicate the status of the project within and beyond the project team 10% Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones 5% DEM is committed to the highest standard of service. Participation in community and culture building activities are mandatory 15% Collaborates across the office's stakeholder teams to create systems and structures that empower decision-makers and ensure projects are completed efficiently and successfully. Identifies synergies and sharing of resources across projects Tasks: Learn about and stay current with knowledge of the work occurring within and across teams within the Office of Admissions & Recruitment (OAR); develop and maintain positive working relationships with team and process leads Develop and maintain a shared dashboard view of projects occurring officewide; collaborate with team members across OAR who manage projects; provide leadership to sustainably align projects, decision making, and documentation across the office Develop a shared dashboard view of our office-wide operational calendar, bringing together calendars developed and managed by process/team leads and cross-functional groups from OAR (i.e., Senior Admin, App2Enrolled, Committees, etc.) Support team-, process-, and committee-leads in successfully managing their projects by teaching and coaching them in meeting planning, facilitation, documentation, software tools, change management, & decision-making Serve as project manager on select projects, taking an active & nimble approach; leverage knowledge of stakeholders & empower decision-makers to ensure success. Example projects: strategic planning, needs assessments, implementing a new policy, etc. Provide clear and consistent updates to OAR leadership and other stakeholders on project goals, risks and progress through tailored communications and digital platforms Collaborate with OAR stakeholders, OAR’s Data team, as well as SSTAR Lab, College Board, ACCRAO, and/or Common App to facilitate & document a process for understanding applicant trends & public perception, informing future opportunities & priorities Keep current with best practices in strategic operational planning and project management concepts through seeking out ongoing learning opportunities, networking, etc. Institutional Statement on Diversity:
