Overview SageMint Wealth is seeking a highly organized, detail-oriented, and self-motivated individual to join our team as a Client Service Associate (CSA). This individual will be part of a collaborative team responsible for supporting our Wealth Advisors so that they can continue to provide superior, personalized financial advice to our firm's clients. The ideal candidate will be client-focused, quick-thinking, and a proactive problem solver with excellent follow-through. To thrive in this role, they will need to be a quick learner with strong project management skills, an adaptable multitasker, and a meticulous, responsive, and thoughtful professional. The CSA serves a key liaison between clients, advisors, internal departments, and external financial institutions – ensuring that clients receive timely, accurate, and thoughtful service. This individual will lead and assist with all elements of client service – including client onboarding, account opening, asset movement, account servicing, database maintenance, meeting preparation, documentation, client communications, and client events. Essential Duties and Responsibilties Client Onboarding: Assist clients with onboarding, including account setup, paperwork preparation, custodian coordination, and welcome communications. Account Opening: Prepare, process, and manage client account documentation while coordinating with custodians and financial institutions. Asset Movement: Coordinate and process deposits, withdrawals, money movement, asset transfers, and account updates, ensuring accuracy and timeliness. Account Maintenance: Monitor and resolve daily custodial alerts related to cash management, account updates, and trading activity. Account Service: Process transactions and service updates; monitor account activity to ensure accuracy and completion. Client Service Requests: Process client requests such as account changes, beneficiary updates, distributions, and gifting transactions in accordance with regulatory requirements and firm policies. Resolve client service issues promptly and efficiently by using all available resources. Database Maintenance: Maintain accurate and up-to-date client records and files to ensure data integrity. Meeting Preparation: Prepare materials and reports for client meetings, ensuring timeliness, accuracy, and professionalism. Documentation: Assist with back-office planning functions, including meeting documentation, filing, and follow-ups. Client Communications: Serve as a point of contact for clients, providing responsive, thoughtful, and professional service via phone, email, and in-person interactions. Client Events & Marketing: Assist with marketing initiatives, event planning, and social media efforts to support firm branding. Provide backup inbound call support and route client needs appropriately. Coordinate with internal departments to ensure timely completion of all responsibilities. Collaborate with advisors and operations leadership to streamline processes, enhance the client experience, and support firmwide initiatives. The duties/responsibilities listed above are not all-inclusive; additional functions may be assigned as needed. Job Requirements Ability to consistently process documents accurately and efficiently. Ability to manage and adapt to multiple priorities in a fast-paced environment. Ability to work effectively in a collaborative team setting while independently managing assigned responsibilities. Strong interpersonal and communication skills when interacting with clients and coworkers. Working knowledge of financial services, including investment types, advisory accounts, and financial planning concepts. Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), with an emphasis on Excel. Bachelor’s degree required. Must pass a background check prior to hire. High level of ethics, discretion, compliance, and confidentiality. Preferred Qualifications Two or more years of relevant experience in financial services, wealth management, or investment advisory. FINRA SIE, Series 7, and 66 licenses; or ability to obtain within six months of hire. Experience with WealthBox or similar CRM platforms.
