Facilities Project Administrator AssociateThe Facilities Project Administrator Associate will be an integral part of the Corporate Facilities Team at South Jersey Industries. This team member will oversee SJI's mailroom and courier operations and support Facilities functions and capital projects. South Jersey Industries offers a supportive work environment, a culture of learning, and the opportunity to be a part of a mission shaping a Clean Energy Future for New Jersey.Essential Duties and Responsibilities:MailroomDevelop new shipping program resulting in cost savings with USPSOversee day to day operations of Mailrooms in Folsom and Atlantic CityShipping vendor managementProcess invoices for shipping vendorsManage courier relationshipsDocument Retention Policy Administrator for SJI, SJG, ETGMaintain organizational list of authorization to request documentsMaintain organizational list of authorization to destroy documentsMaintain and monitor documents storageReport on documents ready for destructionManage conversion of physical documents to digital documentsProcess invoices for document retentionMaintain supplier relationship with document vendorManage large departmental scanning projects (HR, Accounting, Treasury)Project CoordinationCoordinate and track Facilities Capital projectsAttend project meetings on behalf of facilities managementCoordinate all projects with business areas that require facilities and mailroom involvementProvide input and scope for SOWsOrganize and participate in contract renewal negotiationsAdministrativeUpdating and maintenance for Facilities SharePointFile/record administrator for Facilities Team siteManage Facility issue reporting siteMaintain spreadsheet trackers for Facilities vendor contract documentsProvide general administration support to department managerInvoicing/ Vendor CommunicationCoder for Facilities in WorkdayCreate and maintenance service contractsCreate and maintenance PSA'sCreate and maintenance of Purchase OrdersAssist in negotiation of pricing and contract termsChange in ordersObtain w-9 and insurance from suppliers/vendorsCommunicate with vendors for vendor/supplier registrationDiscuss, review, dispute invoicing concerns with vendorsLiaison between department manager and executives for vendor contract executionLiaison between department manager and vendorCollaborate with procurement department to assist in savings opportunitiesQualificationsBachelor's degree with a minimum of 0 years of relevant experienceEquivalent work experience may be considered in lieu of degreeExplore the PossibilitiesSouth Jersey Industries employs a diverse range of talent from construction contractors to environmental specialists.
