Program Assistant - Immigration Law Project
Essential Job Functions:Specific duties include but are not limited to:Assisting the program in the providing administrative support and operational tasks for the programGreet visitorsAnswers and directs phone callsResponds to general phone inquiriesReceives and distributes faxes and mailPre-screens potential intakesSchedules consultationsProcesses payment requests, purchase orders, reconciliationsMaintaining and updating monthly statisticsMaintains resource materialsUtilizes and or maintains databases utilizing CMS, tracking sheets, contract management assistanceProcessing purchase orders, payment requests, reconciliations, funder timesheets from the programs in a timely and accurate fashionAssist in coordinating and/or providing support for special eventsWord Processing and proofreading memos and other documents; filing dutiesOrdering, distributing and keeping inventory of special purchasesCollaborates and maintains cooperative relationships with all other Safe Horizon programs/departments and external vendors, including IS&T, Facilities, Purchasing and Accounts PayableAnswers and directs telephone calls, faxes and mail directed to the departmentOther program-related administrative tasks as assignedQualifications:High School Diploma/GEDBachelor's degree preferredProficiency in Microsoft Excel, Outlook and PowerPointExcellent organizational, writing, and analytical skills required, as well as high energy level, strong interpersonal skills, and initiativeKnowledge of domestic violence issues strongly preferredThis position is subject to a collective bargaining agreement to be negotiated with local 2325 of the UAW.If hired, I agree to abide by all of Safe Horizon's rules and regulations, and understand that, if employed, my employment may be terminated with or without cause, and with or without notice, at any time, at the option of either the company or me.
