Coordinator, Volunteerism & Internships

Job Summary: The Coordinator of Volunteerism & Internships is an innovator and organizer responsible for developing, managing, and continuously improving a comprehensive, agency-wide volunteer and internship program. This role ensures the program operates with a high level of effectiveness, compliance, and strategic alignment, leveraging community talent to strengthen the organization s mission and impact. In addition to program development and engagement, this position provides centralized oversight of volunteer and internship processes to ensure compliance with federal, state, and funder requirements, mitigate organizational risk, and maintain high-quality, consistent experiences across all sites and programs. The Coordinator plays a critical role in supporting organizational capacity, community engagement, and strategic initiatives through the effective recruitment, training, placement, and stewardship of volunteers, interns, and board members. Essential Functions: Primary Duties and Responsibilities: Manage the organization-wide Volunteerism and Internship Program that is grounded in Service Enterprise principles, engages community members with the organization s mission, meets the goals of volunteers and interns, and supports the organization s many different programs, services, and initiatives. Set goals and maintain policies and procedures for the program that ensures quality, consistency, and positive outcomes for volunteers/interns and the organization. Collaborate with staff to identify opportunities for service that are mutually beneficial for the Agency and the volunteers and interns. Encourage development of a wide-variety of types of volunteer opportunities that include ongoing, time-limited, or one-time experiences as well as opportunities for individuals and groups to serve and support the organization. Assist site supervisors with developing performance expectations and provide ongoing guidance about effective supervision and support of volunteers/interns to ensure their success. Create a comprehensive recruitment plan to attract volunteers and interns with diverse backgrounds and experiences who are interested in supporting Community Action s mission that includes, but goes beyond, posting opportunities through social media, websites, and clearinghouses. Participate in community events, meetings, gatherings, and fairs to promote volunteer/internship opportunities, and when appropriate other programs, services, and initiatives. Efficiently process applications and complete background studies, facilitate interviews, deliver orientation and training, create a reporting system to track hours and statistical data for grant and outcomes reports, conduct exit interviews, and the like. Establish and nurture partnerships and collaborations with community service and civic organizations, colleges and universities, and local businesses and corporations that may lead to volunteer or intern placement. Coordinate volunteer recognition efforts. Evaluate the program on an ongoing basis to ensure effectiveness and implement changes as needed. Program Oversight, Compliance & Risk Management: Provide centralized oversight of volunteer and internship programs to ensure compliance with organizational policies, funder requirements, and applicable laws and regulations. Maintain accurate tracking, documentation, and reporting of volunteer hours, stipends, and engagement metrics to support audits, grant reporting, and organizational performance measures. Develop, implement, and monitor policies and procedures related to volunteer screening, background checks, training, and risk management to ensure safe and compliant program operations. Ensure consistency and quality of volunteer practices across departments, reducing silos and supporting a cohesive One Agency approach. Volunteer Lifecycle & Organizational Capacity Building: Lead the full lifecycle of volunteer and intern engagement, including recruitment, onboarding, training, plac ment, supervision support, and recognition. Support critical organizational functions by coordinating volunteers and interns who help address staffing gaps and enhance program delivery across multiple sites and service areas. Oversee and support board and advisory volunteer recruitment and onboarding processes, ensuring timely placement, proper documentation, and compliance with governance requirements. Strategic Alignment & Program Impact Align volunteer and internship programming with organizational strategic goals, Service Enterprise standards, and Pathways to Excellence frameworks. Contribute to strategic planning efforts by engaging community members and volunteers in planning processes and feedback systems. Evaluate program effectiveness through data, feedback, and performance metrics, using insights to drive continuous improvement and demonstrate impact. Systems, Infrastructure & Training Manage and optimize volunteer management systems to support efficient operations, reporting, and user experience. Develop and deliver training for staff and volunteers to ensure clarity of roles, expectations, and compliance requirements. Establish standardized processes that enhance program scalability, consistency, and long-term sustainability. Identify, pursue, and support grant opportunities related to volunteerism and internship programming, including researching funding sources, contributing to proposal development, and collaborating with leadership to secure resources that sustain and grow the program. Additional Responsibilities: Support all activities of the Advancement & Inclusion team to help facilitate deeper and more meaningful relationships between residents and Community Action. Bring forward issues to the supervisor that could result in the development of an initiative, or that could contribute to existing initiatives. Attend agency meetings and training sessions as requested by the supervisor. Other duties as assigned. Qualifications: Education & Experience: Bachelor s degree in the liberal arts, nonprofit or business management, communications/marketing, social work or related subject strongly preferred and 2 years of related experience OR the equivalent combination of education and experience to successfully perform the duties of the job. 1-2 years of experience managing a volunteer program and working with volunteers required. Benefits: Department: Administration/Planning & Administration Hiring Range: $50,990.55 - $64,114.97 Annually Locations: Syndicate Headquarters Suite 350 - 450 Syndicate St. N. Saint Paul, MN 55104 Schedule: M-F, 40 Hours/Week, Full Year, Exempt 8:00am-4:30pm Hybrid Capability: 20%
