K-2 Building Administrative Assistant
Position OverviewThe Building Administrative Assistant serves as a vital member of the school community, supporting the daily operations of a K-2 elementary building. This role is often the first point of contact for students, families, staff, and visitors, and plays a key role in creating a welcoming, organized, and student-centered environment. The Administrative Assistant works closely with the building principal and staff to ensure efficient office operations while supporting the unique developmental needs of early elementary learners.ResponsibilitiesServe as the primary point of contact for the school office, greeting visitors, answering phones, and responding to inquiries in a professional and friendly mannerProvide clerical and administrative support to the building principal and staffMaintain accurate student records, attendance, and enrollment data in accordance with district and state requirementsMonitor daily attendance, follow up on absences, and communicate with families as neededAssist with student health needs, including basic first aid and coordination with the school nurseManage office communications including newsletters, emails, announcements, and family correspondenceSupport scheduling of meetings, conferences, and building eventsMaintain confidentiality of student, staff, and family informationCoordinate building logistics such as transportation changes, dismissal procedures, and visitor check-in systemsAssist with ordering and maintaining office and school suppliesSupport substitute teacher coordination and staff absences as neededProvide a calm, supportive presence for young students who may need assistance throughout the dayCollaborate with staff to support a positive and welcoming school climateQualificationsRequired:High school diploma or equivalentPrevious clerical or administrative experienceStrong organizational, communication, and interpersonal skillsProficiency with office technology, including word processing, spreadsheets, and student information systemsAbility to multitask and manage frequent interruptions in a fast-paced environmentDemonstrated ability to maintain confidentialityPreferred:Experience working in a school setting, particularly at the elementary levelFamiliarity with student information systems and attendance trackingFirst aid/CPR certificationExperience working with young children and familiesPhysical DemandsAbility to sit and work at a desk for extended periodsFrequent standing, walking, and movement throughout the buildingAbility to lift up to 25 pounds (e.g., office supplies, student materials)Occasional need to assist young students, which may include bending, kneeling, or reachingWorking ConditionsSchool office environment within a K-2 elementary buildingFrequent interaction with students, staff, families, and visitorsFast-paced setting with regular interruptions and changing prioritiesMay require flexibility to support building needs, including occasional extended hours for events or peak timesWork year and hours determined by district calendar and building needs
