With operations across multiple jurisdictions, we operate in a fast-paced, client-driven environment where accuracy, responsiveness, and financial discipline are critical.Position OverviewThe Cash Applications & Collections Specialist is responsible for the accurate and timely application of cash receipts across Mintz Group’s global entities, while supporting the broader collections function. This role is critical to maintaining clean accounts receivable, improving cash flow, and ensuring a high standard of client service.Key ResponsibilitiesCash ApplicationsPost and apply daily cash receipts in NetSuite across multiple entities (US, UK, Canada, and others)Investigate and resolve unapplied or misapplied cashIdentify and escalate short payments or discrepancies to the Collections teamRecord retainers, prepayments, and deposits accuratelySupport AR-related bank reconciliationsPayment ProcessingProcess credit card payments (ad hoc and month-end) and ensure proper applicationMaintain accurate documentation and audit trail for all transactionsCollections & AR SupportMonitor and manage the AR inbox (invoice requests, statements, banking details, tax forms)Support collections efforts by ensuring accurate AR balances and clean agingAssist in resolving billing discrepancies in coordination with Billing and Practice teamsPrepare and distribute customer statementsClient Portals & ComplianceUpload invoices to client portals and track submissions in NetSuiteComplete vendor onboarding forms and ACH/EFT documentationProcess ImprovementIdentify and address inefficiencies in AR and cash application processesSupport automation and system improvements within NetSuite and reporting toolsWhat Success Looks LikeCash is applied accurately and within 24 hours of receiptMinimal unapplied or aged cash balancesClean and reliable AR aging to support collections effortsTimely and professional response to internal and client requestsStrong partnership with Collections, Billing, and Practice teamsQualifications2–5 years of experience in Accounts Receivable, Cash Applications, or Collections supportExperience with NetSuite is a mustExperience in a multi-entity and/or multi-currency environment is a plusStrong attention to detail and problem-solving skillsProficiency in Microsoft Excel and OutlookExcellent communication and organizational skillsExperience in professional services or project-based environments is preferredFrench fluency highly desired Ready to Join Us?
