Administrative AssistantSC Ashley Oaks - Charleston, SC 29407DescriptionAdministrative Assistant (420-Unit Apartment Community)Ashley Oaks Apartments - Charleston, SC 29407The Administrative Assistant provides high-level administrative and customer service support for a large, 420-unit multi-family apartment community. This role is critical in maintaining efficient office operations, supporting leasing and management staff, and ensuring a positive experience for residents and prospects in a fast-paced environment.Key ResponsibilitiesServe as the first point of contact for residents, prospects, and vendors; deliver professional and courteous customer serviceManage high-volume phone calls, emails, and in-person inquiriesSupport leasing team by scheduling tours, preparing application packets, and assisting with lease documentationMaintain and organize a large volume of resident files, leases, and compliance documentationProcess rent payments, assist with delinquency tracking, and support monthly reportingCoordinate and track a high volume of maintenance requests; follow up to ensure timely completion and resident satisfactionAssist with move-ins and move-outs, including unit readiness coordination and documentationPrepare notices, correspondence, and community communicationsSupport property manager with reports, data entry, and operational tasksMaintain office supplies and ensure smooth day-to-day office functionalityAssist with resident events and community engagement initiativesEnsure compliance with company policies, fair housing regulations, and local/state requirementsQualificationsHigh school diploma or equivalent required; Associate degree preferred13 years of administrative, property management, or high-volume customer service experienceExperience in multi-family housing or large communities preferredStrong organizational skills with the ability to manage multiple priorities in a fast-paced environmentProficiency in Microsoft Office (Word, Excel, Outlook)Experience with property management software (e.g., Yardi, AppFolio, RealPage) preferredExcellent communication and interpersonal skillsStrong attention to detail and problem-solving abilitiesKey CompetenciesAbility to handle high resident volume with professionalism and efficiencyStrong multitasking and time management skillsCustomer-focused mindset with conflict resolution abilitiesTeam-oriented with a willingness to support multiple departmentsAbility to maintain confidentiality and accuracy under pressureWork EnvironmentOffice setting within a residential apartment communityFrequent daily interaction with residents, prospects, and service vendorsPhysical RequirementsAbility to sit, stand, and walk for extended periodsOccasional lifting of office supplies (up to 20 lbs)Salary$21 per hourJob Type: Full-timeExpected hours: 40 per weekBenefits401(k)Dental insuranceHealth insuranceVision insurancePaid time offAbility to CommuteCharleston, SC 28407 (Required)
